Customise Ribbon Command Shortcuts
The Customising Ribbon Command shortcuts option allows you to add special commands to the ribbon to access specific items in the dataset or to perform particular tasks.
New shortcut commands can be created for:
- Search Forms - select this option to create a custom command for a Search Form.
- Saved Searches - select this option to create a custom command for a Saved Search.
- Created Record - select this option to create a custom command to create a record using a specified Record Type.
- Create Classified Record - select this option to create a custom command to create a record using a specified Classification.
- Create Matter Item - select this option to create a custom command to create a record using a specified Matter.
- Create Record In Container - select this option to create a custom command to create a record to contain within a specified Container.
To create a new custom command:
- Right-click in the ribbon area and select Customise Ribbon Command Shortcuts. The Customise Ribbon Command Shortcuts dialog appears.
- From the New Shortcut drop-down list, select the type of custom command to be created.
- On the displayed Select from... dialog, search for and select the object/item to be linked to the command.
- Click OK.
To modify the details of a custom command:
- Right-click in the ribbon area and select Customise Ribbon Command Shortcuts. The Customise Ribbon Command Shortcuts dialog appears.
- Select the command to be updated and click Properties. The Ribbon command shortcuts dialog appears.
- Update the details of the command:
- Enter a short caption to show on the ribbon button - type in the name of the button, this will be displayed on the ribbon.
- Enter a tooltip for the ribbon button - type in the tooltip of the button, this will be displayed when you mouse hover on the button.
- Select an icon to display on the ribbon - from the drop-down list, select the icon the button will have when added to the ribbon.
- User a large icon for the ribbon button - select this option to display the button icon as a large image.
- Click OK to save the changes.
To remove a custom command:
- Right-click in the ribbon area and select Customise Ribbon Command Shortcuts. The Customise Ribbon Command Shortcuts dialog appears.
- Select the command to be removed and click Remove.
The selected command will be removed without confirmation.
Adding Custom Commands to the Ribbon
Once the custom command has been added, it needs to be added to the Content Manager Ribbon.
- Right-click in the ribbon area and select Customize the Ribbon.
- From the Choose commands from column's drop-down list, select Ribbon command shortcuts.
- In the Choose commands from column, select custom command to be added to your new group, and then in the Customise the ribbon column, click the Group it is to be added to, then click Add. The custom command will appear in the group hierarchy. The order of the commands can be rearranged by using the Up and/or Down buttons.
- Repeat until all custom commands have been added to the group(s).
- Click OK to save the changes, and the custom commands will be available in the Content Manager ribbon tabs/groups as set.
NOTE: Custom commands can only be added to group that is not an existing Content Manager group. The tab the group belongs to can either be an existing Content Manager tab, or you can opt to create a new tab by clicking New Tab and naming it how you require.
In the selected tab, click New Group to create the group your custom command(s) will be added.
Removing Custom Commands from the Ribbon
- Right-click in the ribbon area and select Customize the Ribbon.
- From the Choose commands from column's drop-down list, select Ribbon command shortcuts.
- In the Customise the ribbon column, expand the Group the command was added to, select the command and then click Remove. The custom command will be removed from the group hierarchy.
- Repeat until all custom commands have been removed from the group(s).
- Click OK to save the changes, and the custom commands will be removed from the Content Manager ribbon.
NOTE: Global settings
There are two global settings related to the custom command shortcuts:
Ribbon command shortcuts such as saved searches and search forms - this option will save/transfer only the custom commands, it won't apply them to the ribbon.
Ribbon and frame settings - in conjunction with the above option - this option will save/transfer the custom commands as they appear on the ribbon.
