Entering foreign barcodes
The field Foreign Barcode can display more than one barcode. The first barcode is the default barcode, and multiple barcodes are separated by semicolons (;).
There is more than one way to put foreign barcodes into Content Manager.
Option 1 - perhaps the most common method:
- Display the existing record - even if you just created it - right-click it and in Administrative Tools, click Record Number.
The Record Number dialogue box appears with the field Foreign Barcode.
- If you have a keyboard wedge, scan the foreign barcode on that field, otherwise type in the foreign barcode number and click OK.
Option 2
- Create a New Record form that includes the Foreign Barcode field
- You can then enter the foreign barcode number in the Foreign Barcode field when you create the record.
This enables you to retain a separate and perhaps automatically generated record number.
- If you have a keyboard wedge and you are currently in the Foreign Barcode field on the New Record form, you can scan the foreign barcode and it will automatically fill in that field for you. Otherwise, type in the number.
Option 3
- Set the record number to match an existing foreign barcode number.
You can do this when you create the record if record numbering is set to manual numbering for the Record Type.
- When a record is created, you enter the existing foreign barcode number as the record number.
This correlates the foreign barcode with the record number.
NOTE: A foreign barcode can be entered in with the same format as the system-generated Content Manager barcodes provided they do not match with any existing Content Manager barcodes within the dataset. The foreign barcode also must not have a URI that is greater than the maximum URI in the dataset as it may cause duplication issues in the future. When a foreign barcode that is entered with the same Content Manager generated barcode format, a warning will be displayed advising that printing a new barcode label is recommended.
The Content Manager barcode format is <X><DBID><YYYYYYY>, where X represents a single character, DBID the Content Manager two-character database ID, which you can get from your Content Manager administrator, and the Ys a seven-character representation of the record URI, its unique identifier.
