Creating requests
To request a record using Content Manager, you need to create a request:
- Right-click the record you want to request, point to Requests and click Add Request.
The Add a Request for the selected Record dialogue box appears.
- Requested By - by default, your Location appears.
To request the record for another user, delete the name in the field and either type in the requestor's name or use KwikSelect to select the name from the Locations list.
- Date Required - date and time you want the record to be sent to you
- Select Recurring Resubmit if you will need the record regularly.
Use Every and Until to specify when and until when.
- Request for scan of original paper documents - select this option to request the paper documents to be digitised and attached to the requested record so it can be 'delivered' electronically rather than as hard copy.
- Notes tab - to add any extra information relevant to the request.

- Additional tab - set required additional information about the request. See Modifying Additional Field data
- Requested By - by default, your Location appears.
- Click OK.
Content Manager submits the request.
- Right-click the record your request is about, point to Requests, and select one of the request types:
- Retrieve - Temporary - to request a file to be delivered to you that you need temporarily
- Retrieve - Recurring - to request a file temporarily but regularly, for example, one that needs to be updated once a year
- Retrieve - Permanent - to request a file from its storage location to store it elsewhere permanently
- Pickup - New Record - to request a pickup for a file that has been checked in to Content Manager as a new record to send it to its storage location for the first time
- Pickup - Return - to request a pickup for an existing file that you are finished with to return it to its storage location
The Create a new Request dialogue box appears.
- From the following fields, fill in the ones that apply to your request:For temporary requests
- To Requestor - Location making the temporary request. By default, your Location appears.
To request the record for another user, enter a different name.
- Request for scan of original paper documents - select this option to request the paper documents to be digitised and attached to the requested record so it can be 'delivered' electronically rather than as hard copy.
For permanent requests and Pickup - New Record- To New Home - the new record Home Location
- Priority - default priority is Medium - select the request priority from:
- Low
- Medium
- High
NOTE: If the priority is modified for a new request, this selection is retained for future requests.
- Date Required - the date and time you need the record.
NOTE: If the priority is set to Low, the Date Required is mandatory.
- Use Every and Until for recurring requests to specify how often and until when Content Manager should regenerate the request
- Notes tab - to add any extra information relevant to the request.

NOTE: For users to be able to create Pickup - New Record requests, they must have the Make Requests permission, the record must be currently assigned to them and they must have permission to modify the Home Location of the record.
For users to be able to create Pickup - Return requests, they must have the Make Requests permissions and the record must be currently assigned to them.
For users to be able to create Retrieve - Permanent requests, they must have the Make permanent retrieval requests permission.
