Using the multi-field search editor
The multiple field search dialogue box enables you to combine a number of standard fields to search for Content Manager items like records, Locations, or Classifications. The dialogue box appears differently according to the type of Content Manager item you are searching for.
The multi-field search editor is not available for all Content Manager items.
Content Manager returns items that match all the criteria you entered, like in a logical AND search.
Depending on your Content Manager setup, there may also be a number of tabs available to enter more search criteria,
- Indexed Words - searches for specified words in the following selected fields:
- In Title - in title fields only
- In Notes - in notes fields only
- In Document - in document text only
TIP: You can type several words into the Indexed Words field and they will be combined with an AND, for example, Administration Project will search for Administration and Project.
You can select one or more of the Indexed Word boxes. If you select more than one, they will be combined with OR.
For example, Title Word (Administration AND Project) OR Notes Word (Administration AND Project) OR Document (Administration AND Project).
- Contact - searches the last name of the contact attached to a record.
You can type two contacts that you want to search by. They will be combined with OR.
- Assignee - searches by the Assignee Location of a record
- Container - searches for all records in a container by the container number
- Classification - searches for all records that have been allocated a classification
- External ID - searches by the external reference number of a record - for example, the sender's reference of a piece of correspondence received.
When you are searching for a range of external IDs, for example, from 100 to 250, use it to specify the first ID of the range.
- To - enter the last number of the range of external IDs
- Date Created - the date the record was physically created.
When you are searching for a range of dates, for example, from 15/06/2007 to 15/04/2008, use it to specify the first date of the range.
- To - enter the last date of the range of dates
- Date Registered - the date the record was first put into Content Manager.
When you are searching for a range of dates, for example, from 15/06/2007 to 15/04/2008, use it to specify the first date of the range.
- To - enter the last date of the range of dates
- Expanded Number - the number allocated to each record.
You must type a record number exactly, for example, if there are parts to record number 2002/00001, then you need to type the part number, 2002/00001-01 etc.
You can also type part of the number - for example, 2002/ - and use KwikSelect to display a list of all record numbers starting with what you typed.When you are searching for a range of external IDs, for example, from 100 to 250, use it to specify the first ID of the range.
