Reports shipped with Content Manager
Content Manager ships with pre-defined reports. You can access them by clicking Home - Layouts ribbon, then Report.
NOTE: Some functions will only display report layouts appropriate to use with the currently selected function.
These are indicated by the icon in the Report Layouts window.
- Action List Report - prints a list of the actions and their descriptions
- Action List Report (Landscape) - prints a list of actions and their descriptions in landscape format
- Action Tracking Cover Sheet - prints a list of actions that are applied to the selected record(s)
- Additional Fields - prints a list of Additional Fields
- Barcode Control Sheet - lists barcodes that switch a barcode scanner into different modes.
- Caveats - prints a list of the security caveats and their descriptions
- Census - prints a list of the censuses and their descriptions
- Classifications - prints your Classification (Record) plan structure.
Basic details included in the default report are each level's plan number and text.
You can print the selected Classification plan level, tagged Classification plan levels or the whole Classification plan.
- Classifications Incl Records - prints your Classification plan and the records created with or using the Classification plan levels
NOTE: When you tag all Classification plan levels and try to use the report Classifications Inc. Records, Content Manager does not list all records using Classifications.
By default, this list only shows the lowest levels of the Classification plan.
The method to display all records for the Classification plan:
- Display the Classifications list and type a letter to refine the search
- Click OK to display that level.
The report will include the records for each bottom level.
- Communication Details - prints a list of communications and their descriptions
- Communication Recipient Address Label - prints address labels for nominated communication recipients
- Consignment and Container - prints a list of records with their due dates for disposal listed by container
- Consignment and Contents - you can print a consignment list for all the archived files:
Print a list of the files that appear on your screen as a result of a search
The boxes they are in will be included on the report.
- Consignment Proposal - prints a list of records with their due dates for disposal
- Hold Inc Records - prints a list of the Holds and records associated with them
- Indexed Word List - prints records that have specified words in their title or notes.
Basic details included in the default report are the record number and title.
You can print the selected word, tagged words or the whole list.
- Location and Assigned Records - prints Locations and the records currently assigned to them
- Location and Home Records - prints Locations and the records currently assigned to them as Home Locations
- Location and Owner Records - prints Locations and the records currently assigned to them as Owner Locations
- Location and Requested Records - prints a list of all outstanding requests or resubmits for records and the Locations requesting them
- Location Barcode List - prints all Locations with their barcodes
- Location Details - prints a detailed report of the selected Location(s)
- Location List - prints Locations including internal and external Locations.
You can print the selected Location, tagged Locations or all Locations.
Basic details in the default report are the Location name, Position and Organisation, if applicable, phone number, address and security level.
- Lookup Sets - enables you to print the items within a lookup set
- Meetings - prints a list of meetings and their descriptions
- Noise Words - prints a list of noise words
- Person and Organisation - prints a list of Person Locations with their associated Organisation Location
- Person and Position - prints a list of Person Locations with their associated Position Location
- Person, Position and Organisation - prints a list of Person Locations with their associated Position and Organisation Location
- Postal Codes - prints a list of postal codes
- Record Label (Incl Sec) - prints a record label to place on a physical file
- Record Requests - prints a list of record requests and resubmits.
- Record Type - prints a list of Record Types and their associated details
- Records - Basic - will show just the basic details of the selected records
- Records - Detailed - will show more complex details of the selected records
- Schedules - you can print the selected Retention Schedule or all Retention Schedules
- Schedules Incl Records - prints your Retention Schedules and any records using them
- Security Breaches - prints security breaches.
- Security Caveats - prints the security caveats
- Security Levels - prints the security levels
- Space Label - generates a barcode label for selected spaces within the Space management system, for example, a number of shelves.
These barcodes can be used with a barcode scanner to help manage the movement of boxes within a warehouse.
- Spaces - prints a list of the Spaces set up in the Space management system and the records allocated to them
- Thesaurus - Linked Terms - prints a list of linked Thesaurus terms and their relationship details
- Thesaurus Terms - prints the list of Thesaurus terms and their details
- Thesaurus Terms and Records - prints the list of Thesaurus terms and any records using them
- Workflow - prints a list of Workflows with their associated Activities and records
- Workflow Activity - prints a list of Workflow Activities with their associated records
- Workflow Template - prints a list of Workflow templates with their modification and security details
- Workflow Template Report - prints the Workflow template details and their descriptions
