Skipped Activities and decision branches
Content Manager will skip Activities that have not been completed if successive Activities using OR start conditions are completed.
- For example, an Activity 3 has the start conditions Activity 1 completed (optional) and Activity 2 completed (optional).
That means that Activity 3 will be Ready to Start once either Activity 1 or 3 have been completed.
- A user marks Activity 1 Finally Completed
- Another user marks Activity 3 Finally Completed
- Content Manager will set Activity 2 to Skipped - within this three-step Workflow example, it was not essential for its progress
The skipped Activities are no longer active and cannot be completed
- Content Manager sends an email to the Assignee of the skipped Activity advising the Workflow Activity has been skipped
- Content Manager removes skipped Activities from the Due tray
You can enter different possible results against an Activity.
An example is an Activity Application Approval with the possible outcomes:
- Application Approved
- Application Pending
- Application Rejected
Users process the Activity and set a result for it
Depending on the result, the next Activity becomes ready, for example:
- Send Approval Letter
- Send Pending Letter
- Send Rejection Letter
Setting up a decision branch
- From an Activity's Properties, select the Results tab
- Right-click to enter the possible results, one at a time
- Create successor Activities for the results you need to cover.
See Creating Workflow Activities.
NOTE: When you create new document placeholders in a decision branch, you cannot reference documents in other branches of the Workflow.
- In each successor Activity's Properties - Start Conditions tab, create a new start condition
- In Depends on the following Activity, select the Activity that has the result that should start this one
- In Having the following Result, select the result that should trigger this Activity to start
- Save your changes to the Workflow
Using a decision branch
- When you complete an Activity, Content Manager displays the Complete Activity window
- At the bottom, pick a result from the Result (tag one or more of the available Results below) field.
Content Manager will activate other Activities depending on the result.
