Completing Activities
TIP: Activities can be completed by the assigned location or by an delegates that are associated to the assigned location.
- Search for the Activity you want to complete.
See Finding Workflows and Workflow Activities.

If you are assigned the responsibility to complete the Activity, open your Activities Due tray in your shortcuts toolbar.

Open the Workflow that contains the Activity in the Workflow editor
- Right-click the Activity, select Complete
NOTE: Multiple Activities that are assigned to you and do not require user interaction can be completed in a single complete update. Tag the activities to be completed, right-click and click Complete. If activities that are not assigned to you or require user interaction are selected these will not be updated and an error will occur.
- If it appears, fill in the Complete Activity dialogue box
NOTE: If the Activity option Hide the completion dialogue if possible is selected and there is no relevant action to complete by the user, the Complete Activity dialogue box may not appear.
In that case, the Activity is completed.
If the Hide the completion dialogue if possible option has not been selected or there are working documents attached to the Activity, the Complete Activity dialogue box appears:
- General tab
- From the list of potential Activity results, select the result for the Workflow Activity.
- Activity was completed on - type or use the calendar to enter time and date
- Actual Time Spent - use the buttons below or KwikSelect to enter the time
- Estimated Cost - enter a figure, if needed
- Documents tab - to review, add or delete documents
- If applicable, the Documents tab will appear for you to view the documents attached to the Activity and to add new working documents or select a reference document. You can then make a decision based on the documents, if necessary. Double-click a placeholder to attach a document to it or right-click and select one of the options from the New menu to attach a new document as:
- Record Supercopy
- Local File
- Content Manager record
- Offline Draft Record
- Notes tab - add notes if you want.
NOTE: When completing an Activity that requires a result, Content Manager will prompt you to select one.
For Workflows that have the option Automatically start Activities when they are ready to start selected, when completing an Activity, the Complete Activity dialog will include an Assignees tab that displays all unassigned next steps in the workflow.
When you complete an Activity and the next Activity is not assigned but can start, Content Manager prompts you to select an Assignee for the unassigned Workflow Activities in the rest of the workflow process, if you attempt to complete the Activity without doing so.
- On the Complete Activity - <Activity Name> dialog, on the Assignees tab, select the Activity, or multiple Activities if they are to be assigned to the same person, click Modify.
- On the displayed Select From Locations dialog, search for the location that is to be the responsible for completing the Activity(ies), click OK.
- Repeat for each Activity that will be assigned to a different Assignee, if known.
- Click Clear to remove a selected Assignee.
- Click OK to complete the Activity, and update and progress to the next Activity in the Workflow.
