Working documents
Working documents are documents that are created or edited as part of the Workflow process.
They are created using the Working Document right-click commands.
You can attach documents to a working document placeholder from any point in the Workflow.
Working document placeholders are not documents; they exist to indicate where a document should be created to satisfy the requirements of the Activity.
They also define how it should be created.
The default details available through the properties of a placeholder mean that working documents can be created:
- With no defined record type
- With a defined record type
- From a supercopy of a particular record, using no defined Record Type
- From a supercopy of a particular record, using a defined Record Type
The right-click commands available to the different placeholder configurations used in the creation of a working document depend on the settings.
Users will only be able to attach a working document placeholder when they are the assignee of that Activity and the Activity is ready to start.
When creating a working document from a supercopy, only one right-click command is available:
- Attach Supercopy - will do the following:
- Present you with a Select Record Type dialogue if a Record Type was previously left undefined
- Present you with the New Record form for the selected Record Type
- Attach the new record to the working document placeholder
- When creating a working document with or without a defined Record Type, the following right-click commands will be available from the placeholder:
- Attach Local File - will do the following:
- Present you with a folder browser to pick a local document
- Present you with a Select Record Type dialogue if a Record Type was previously left undefined
- Present you with the New Record form for the selected Record Type
- Attach the new record to the working document placeholder
- Attach Content Manager record - will do the following:
- Present you with a Content Manager search dialogue
- Attach the selected record to the working document placeholder
NOTE: If a user selects an existing record with a different Record Type, it will override the predefined Record Type.
- Attach Offline Records Draft - will do the following:
- Present you with the Offline Records drafts for the current database
- Present you with a select Record Type dialogue if no Record Type was previously defined
- Present you with the New Record form for the selected Record Type
- Attach the new record to the working document placeholder
To see all documents associated with an Activity, use the right-click Show Documents command.
NOTE: Working Documents (Review) and Working Documents Reference selection - an Activity cannot review or reference the documents created by this Activity's successor Activities.
The following commands are available when you right-click a working document:
- Delete - enables you to detach the working document and revert it back to its original placeholder status.
Delete will not delete the record.
- Remove - enables the user to remove the working document and the placeholder from the current Activity.
Remove will not delete the record.
