What happens when I log in to the Mobile App app?

You will be taken to the default home page, i.e, About. You can change and set the home page of your choice.

What options do I have in Mobile App menu?

The Mobile App menu includes the following options or menu items:

  • About - home page that provides information about the Mobile App version, logged in user, help, and privacy policy.

  • Favorite Records - lists all your favorite records

  • Downloaded Documents - lists the downloaded documents for offline viewing

  • Checked Out Documents - lists the checked out documents for editing

  • Search - search record(s) based on search criteria and create new record

  • Recent Documents - lists the documents you have viewed recently

  • Recent Containers - lists the containers. Click a container to view all the records in the container.

  • Records In - lists all the records in the Mobile App

  • Records Due - lists all the records that are due

  • Records In or Due - lists the records that are either in or due

  • Categories/Classifications - lists all categories/classifications and their sub levels. Click on a particular category/classification, will display its properties. Click Record Details to display all the records associated with the category/classification.

  • User Labels -list the user labels

  • Saved Searches - lists all the saved searches associated with records only

  • To Do Items - lists the to do items

  • Thesaurus terms - lists the thesaurus terms

  • Schedules - lists all schedules

  • Holds - lists all the holds

  • Jurisdictions - lists all the jurisdictions

  • Client and Matters - lists the client and matters

  • Options - allows you to configure menu items and home page, and update service API URL.

  • Logout - option to log out of Mobile App app.

Is font scaling or magnification supported?

Yes, zoom in or zoom out functionality is supported in the Mobile App app to have a better view of the document.

Connectivity issues

How do I update the Content Manager URL?

To update the Mobile App URL

  1. Navigate to Mobile App menu > Options.

  2. Click Login.

  3. Update the Connection URL and click Connect.

  4. Click Yes in the confirmation dialog and click Login again.

  5. Enter the credentials in the login page or select the username in the browser and log on to Mobile App app.

    The home page is displayed.

How do I log out of the Content Manager app?

To log out of the Mobile App app

  1. In the Mobile App menu, scroll to the bottom and select Logout.

  2. Click Yes in the confirmation dialog box.

    User name is displayed in the browser.

  3. Click on the username displayed in the browser to be logged out from Mobile App app.

    The connection URL page is displayed.

Can I still access records or documents after I log out of Mobile App app?

No, you cannot access any option or records from Mobile App app once you are logged out. You have to log in again to gain access to Mobile App app.

How can I log in again to Mobile App app?

To log in to Mobile App again

  1. Open the Mobile App app on your phone. The connection URL page is displayed.

  2. Enter the service API URL and then click Connect.

  3. Click Yes in the confirmation dialog. Log in page is displayed.

  4. Click Login, select the user in the browser, enter the password, and click Sign in.

    If you want to stay signed in, click Yes. Else click No.

    You are logged into the Mobile App app and the home page is displayed.

Menu configuration

IMPORTANT: The options displayed in the Mobile App menu depends on the permissions given to the user profile.

How can I change the default home page?

The About page is the default home page.

To change the default Home page

  1. Navigate to Mobile App menu > Options > Menu Configuration.

  2. Click About in the home page.

  3. Perform one of the following:

    • (For iOS) Available pages of the Mobile App is listed at the bottom of the application. Scroll and select the page you want to set as home page. Click Done.

    • (In Android) A pop is displayed listing all the pages in the Mobile App app. Click the desired page to set it as home page.

  4. Click Apply (top right) to set the page of your choice as home page.

How do I change the Content Manager menu items?

By default, all the menu items are displayed in the Mobile App menu. You can change and/or rearrange the menu items that appear in Mobile App menu.

To change the menu items

  1. Navigate to Mobile App menu > Options > Menu Configuration.

  2. Toggle/untoggle to select or deselect a menu item.

  3. Click Apply.

To rearrange the menu items, just drag and drop the menu items to the location you want them to appear in the Mobile App menu and click Apply.

Can I get the default Content Manager menu configurations?

Yes, you can get the default Mobile App menu items again.

To get the default menu items

  1. Navigate to Mobile App menu > Options > Menu Configuration.

  2. Click Reset from the More option.

This will reset the home page and menu items to default settings.

Record operations

How do I view a record, its properties and attachment, if any?

To view a record

  1. Navigate to the location where your record is available, for example, Favorite Records, Recent Documents, Recent Container or search for your record using the Search option in Mobile App menu.

    A list of records are displayed. Perform one of the following:

    1. View properties - Click More option (three vertical dots) to view or list the record properties.

      If the record property you are looking for is not available,

      • (For iOS) Scroll and select the property you want to add to the list and then click Add.

      • (For Andriod) Click Add Properties, a pop is displayed listing all the properties for a record. Click on the property you want to add.

      The newly added property will be displayed in the list of record properties. Similarly, click X mark against a property to delete it from the list of record properties.

    2. View attachment - Simply tap on the record to view the attachment.

How do I add a record without attachment?

To add a record without attachment

  1. From Mobile App Menu, navigate to Search > Add.

    The Record entry form is displayed.

  2. Select a Record Type.

    NOTE: Currently, only simple document record type without any customization or additional fields is supported.

  3. Enter a title for Record Title.

  4. If you want to place the new record in an existing container, enter the name of the container or click KwikSelect. A drop-down with a list of containers is displayed. Select a Container.

  5. Click Save to add the new record.

The record is created and its properties are displayed.

How do I add a record with attachment?

There are two ways to add a record with attachment in Mobile App app:

  1. Using the Add option from the Search menu.

  2. If you have a file on your mobile that you want add to Mobile App as a record, use the share functionality of your mobile and select the Mobile App app from the displayed options.

To add a record with attachment using Add option

  1. From Mobile App Menu, navigate to Search > Add.

    The Record entry form is displayed.

  2. Select a Record Type.

    NOTE: Currently, only simple document record type without any customization or additional fields is supported.

  3. Enter a title for Record Title.

  4. If you want to place the new record in an existing container, enter the name of the container or click KwikSelect. A drop-down with a list of containers in displayed. Select a Container.

  5. Click the document icon to attach a document from your mobile or click the camera icon to take a picture from your mobile and then attach it to the record.

  6. Click Save to add the new record.

The record is created and its properties are displayed.

To add a record with attachment using share functionality

  1. In your mobile, navigate to the location where you have the file.

  2. Select the file and then select share option.

  3. Select the Mobile App app. The Record entry form is displayed.

  4. Enter the details in Record entry form.

  5. Select a Record Type.

    NOTE: Currently, only simple document record type without any customization or additional fields is supported.

  6. Enter a title for Record Title.

  7. If you want to place the new record in an existing container, enter the name of the container or click KwikSelect. A drop-down with a list of containers is displayed. Select a Container.

  8. Click Save.

The file from your mobile is added to Mobile App as a new record and the record properties are displayed.

How do I edit a document?

NOTE: Make sure that you have third party or dependency applications configured on your mobile to access and edit the documents.

For you to edit a document, you need to first checkout the document. You can checkout and edit only Office documents, such as, Word, Excel, and Power Point.

To check out and then edit a document

  1. Navigate and access the record you want to edit.

  2. From More option, select Checkout.

    A pop-up dialog informing that you can open the record from Checked Out Documents menu or from the notification tray of your mobile. Click OK.

    If you don't want this dialog to appear again, select the Dont show again check box and click OK.

    The Checked out property now shows as Checked out in the record property list and the record is available in the Checked Out Documents menu.

  3. From More option, select Edit. The attachment is opened in the native application for editing.

    Editing documents in iOS has some limitations. See Limitations of editing a document in iOS.

  4. Updated the document accordingly and save your changes.

  5. Check in the record back to Mobile App. See How do I check in the record?.

    NOTE: For iOS, once you have Checked In the document back to Mobile App, the document is automatically removed from the Mobile App folder on your iPhone.

    The revision of the record is incremented.

    Limitations of editing a document in iOS

    In iOS, all the checked out documents are stored in Mobile App folder of your iPhone.

    Because of the limitations in iOS, you cannot directly edit an Office document using the Edit option in Mobile App. The following information describes in detail:

    Office documents

    • To edit an Office document for the first time, navigate to the Mobile App folder and click on the document you want to edit. The document will open in the native app for editing.

    Non Office documents

    • To edit a non Office document, use the Edit option in Mobile App that displays a list of applications. Choose the appropriate application to open the document for editing.

    • Currently, editing a non Office document directly from Mobile App folder on your phone is not supported. Navigating to Mobile App folder and clicking on the document displays the Record Entry Form.

      To overcome this limitation, you can either open the non Office document directly from Mobile App for editing or open the native application on your phone first, navigate to Mobile App folder and then select the document you want to edit.

How do I edit a document in OneDrive?

OneDrive option is enabled only for Office documents.

To edit a document in OneDrive

  1. Navigate to the record in Mobile App.

  2. Click the record to display the record properties.

  3. Click the cloud icon.

    A confirmation dialog is displayed.

  4. Click OK in the confirmation dialog.

    A pop-up with status message is displayed in the notification tray.

    The document is opened in the native app for editing. The changes are auto saved in OneDrive. Once the document is updated, Check In the document back to Mobile App. See How do I check in the record?.

    If the document is not present in OneDrive, it will be copied to OneDrive for editing.

How do I check in the record?

To check in a record

  1. Navigate to Checked Out Documents.

  2. Select the record you want to check in.

  3. From More option, select Checkin. The record is checked in with a new revision.

Is it possible to undo the check out?

To undo the check out of a record

  1. Navigate to Checked Out Documents.

  2. Select the record you want to undo the check out operation.

  3. From More option, select Undo Checkout. The changes done to the document are discarded and the record is deleted from the Checked Out Documents.

Can I download record(s) on to my mobile?

Yes, you can download records for offline viewing.

To download records to your mobile

  1. Navigate and access the record you want to download on your mobile.

  2. From More option, select Download for offline viewing. You can access the record from Downloaded Documents menu.

How can I add/remove record to favorites lists?

To add/remove record to favorite list

  1. Navigate and access the record you want to add/remove to favorite list.

  2. From More option, select Add/Remove to/from Favorites. The record will be added or removed to/from the Favorite Records list.

Can I delete records from Mobile App app?

No, you cannot delete records from Mobile App app. You can only delete records that you have downloaded for offline viewing.

How to delete records from Downloaded Documents?

To delete downloaded records for offline viewing

  1. From Mobile App menu, select Downloaded Documents.

    A list of documents that you have downloaded for offline viewing is displayed.

  2. Click the check box and select the record(s) you want to delete.

  3. Click More option and then click Delete.

Search operation

What kind of search operations can I perform?

You can search based on specific search criteria, for example, date created, title or record number and so on. Your can also use search queries with wild card characters. For example, rec* will display all the records with record title that begins with rec, say record1, rec777 and rectest etc.

Can I save my search queries?

No. Currently, saving your searches from Mobile App app is not supported. The searches (record searches only) you saved in Mobile App client or Web Client will be available in Saved Searches.
