Consignment Log Report Format

As a part of the Consignment Disposal Process a log file is created, showing including details of the records that were a part of the consignment.

A system default log file format can be created on the System Options - Disposal page, this default will automatically be assigned to each Consignment or Consignment Template being created.

A customized log file format can be created, defining specific record metadata properties to be included in the log can also be defined for a Consignment, or Consignment Template.

Configuring the log file report format - Default

The process to create a Default Log Layout report and a Custom log format is the same.

  1. To create the Default Log Layout, from the System Options - Disposal page, click Default Log Layouts.
    The Edit default consignments log formats dialog is displayed.
  2. Select the type of Consignment report that is being created:
    • Archive (Keep Forever)
    • Archive (Custody Transfer)
    • Destroy
  3. From the list of Available Items select the metadata field to be included in the log file and either click Add, or double-click the item name, to add the field to the Selected Items list.
    To remove an item from the Selected Items list, select the metadata field to be removed and either click Remove, or double-click the item name. The field name will be added back to the Available Items list.
    The order of the Selected Items can be modified by using the Up and Down arrows.
  4. Repeat Steps 2 and 3 for each type of Consignment Default Consignment Log format, and click OK to save the changes.

The default Consignment Log reports will be assigned by default to each new Consignment, or Consignment Template, created. If organizations want to use a custom log file format rather than the default, this can be done at the time of creation, or by modifying the Consignment, or Consignment Template after creation.

Configuring the log file format - Custom

  1. To create a Custom Log Layout report, on a Consignment, or a Consignment Template, on the General tab, from the Consignment log report format drop-down list, select Use Custom and then click Customize.
    The Edit custom log format for Consignment... dialog is displayed.
  2. From the list of Available Items select the metadata field to be included in the log file and either click Add, or double-click the item name, to add the field to the Selected Items list.
    To remove an item from the Selected Items list, select the metadata field to be removed and either click Remove, or double-click the item name. The field name will be added back to the Available Items list.
    The order of the Selected Items can be modified by using the Up and Down arrows.
  3. To include the consignment approvals in the log file, select Report all approvals in the log.

  4. Click OK.

The customized log format report will be used only for the Consignment it was modified on, or in the case of Consignment Templates, it will be used for all Consignments created using that template.

NOTE: If a Consignment is created using a Consignment Template, by default, it will use the Template's log file format, this can be changed once the Consignment has been created, by selecting Use Custom on the Consignment's Properties - General tab from the Consignment log report format drop-down list.
