Record Type Metadata Capture page

For record types that support the creation of electronic documents, the Metadata Capture page settings allow organizations to determine how metadata is extracted from electronic documents checked into Content Manager via drag and drop, document queues and from Offline Records.

Email: examine content of email messages to obtain the following metadata:

  • Title - from the drop-down list select the document title property to extract the record title from:
    • Set the title from the appropriate content property
    • Set the title from the file name
    • Do not set the title when auto profiling
  • Create author from email sender - extract the email's sender information and set the record's author to be the same.

    NOTE:
    To capture the SMTP email address of the sender for emails checked in from the Sent folder the MAPI component must be installed.
  • Create addressee from To - extract the email's To information and set the record's addressee to be the same.
  • Create contacts from Ccs - add the email's Cc recipients as contacts on the record.
  • Create contacts from Bccs - add the email's Bcc recipients as contacts on the record.

    NOTE:
    If the email is checked in by the sender, all the Bcc recipients will be added as Blind Copied contacts to the record.
  • Contact must existing in Content Manager - select this option to only update the record metadata with locations that exist in Content Manager.

    If this option is selected and the email location does not exist as a Content Manager location the corresponding metadata field will not be populated.

    If this option is not selected and the email location does not exist as a Content Manager location, a new location will be created in Content Manager and the corresponding metadata field will be populated.
  • Maximum number of contacts - set the maximum number of contacts to be added for a record.

Other documents: examine content of documents to obtain the following metadata:

  • Title - from the drop-down list select the document title property to extract the record title from:

    • Set the title from the appropriate content property
    • Set the title from the file name - for Microsoft Word and PowerPoint Files that are yet to be saved, if this option is selected the first line of text in the document will be appended to the record Title field in Content Manager.
    • Do not set the title when auto profiling

  • Created and Modified Dates - select this option to use the document's dates as the record's Date Created and Date Modified.
  • Author - select this option to use the document's Author property as the record's author.
  • Map Tags to Existing Thesaurus Terms - select this option to match the document's keywords/tags to existing Thesaurus Terms and attach these to the record.
  • Store Tags as an Additional Field property - select this option to add the document Tags to the selected Text type Additional Field field. Using the KwikSelect, select the Additional Field field the Tags will be added to.
  • Notes - select this option to append the document's Notes to the record's Notes.
  • GPS Location - select this option to set the document's GPS Location to the record's.
  • Number of Pages - select this option to copy number of pages property to the record.
