Create VEO files
The Content Manager Victorian Electronic Record Strategy (VERS) module generates VERS encapsulated objects (VEOs) from Content Manager records. The output (VEO zip files) can then be transferred to the Public Record Office Victoria (PROV) Digital Archive for long term preservation.
The structure and content of the VEOs is specified by PROV via the VERS 3 standard. The VERS standard and other PROV related information can be found at http://prov.vic.gov.au/.
PROV - Public Record Office Victoria: the Victorian Government Agency that issues standards for the management of public records. PROV also issued the VERS standard.
VERS - Victorian Electronic Records Strategy: the VERS specifies a standard format for electronic records.
VEO - VERS Encapsulated Object: The VERS standard electronic record format, the mandatory long-term format for records.
Creating VEOs
- In Content Manager, on the Manage ribbon in the Archiving group, click Create VEOs.
The Create VEOs dialog appears.
Alternatively, a VEO can be created as a part of the Disposal process for a Consignment.Create VEO dialog options
- Select a consignment (advanced disposal processing) - click the KwikSelect to display search for and select a Consignment that has been created using the Advanced Disposal of records feature in Content Manager. The VEO will be generated for the records associated to this Consignment.
- Select records with a consignment number - for whose disposition and consignment number is set using the right-click Archiving - Dispose option - type the consignment number the VEO is to be created for.
- Output location - browse to and select the folder where the VEO output is to be written.
- Corporate Name - type a name that identifies your organization.
- Agency Identifier - type in an identifier that is unique to your organization, for example, AUS-VIC-DOJCS-4356
- Transfer Run ID - type in the run ID for the transfer. This value is not retained and a new value must be entered for each VEO generated. If this is left blank, "TRIAL" will be used by default.
- Certificate in Personal Store - from the drop-down list select the certificate that is used to sign the VEO files.
Click View to display the Certificate details.IMPORTANT: When creating or requesting this certificate ensure the cryptographic provider is set to "Microsoft Enhanced RSA and AES Cryptographic Provider".
- Click OK
The generated VEO and associated log file will be written to the Output location folder.
