Prompting for search parameters
You can set up saved searches so that when you or other users run it, Content Manager prompts you to enter a parameter.
An example for this use is a search that you have to repeat over time, where one parameter will be different every time you run it.
This could be a search that you may have to run regularly to compile statistics on a team, for example to list the records that have one of a number of owners, that were closed within a particular month and year, which is what the search will prompt for.
To set up the prompt, in the relevant Search for... dialogue box, at the bottom in the list field, right-click the criterion to prompt for, and click Parameter.
In the Method Parameter dialogue box, set the prompt options, click OK and save the search.
- Use the Content Manager search function to specify the search criteria by clicking Search, and then Find Records, for example
- In the Search By field, enter the criteria to search by, for example by clicking the folder button to display the Search Methods dialogue box. See Search pane. For example, enter owner.
- In the drop-down box Select search style for Location, select A list of Locations
- For Enter the Location to search by, enter the first few letters of the surname, and then click the blue folder button.
- In the Select From Locations dialogue box, select or tag the Locations to include in the search and click OK
- In the Search for Records dialogue box, click Add to add the Location to the list
- In the list field at the bottom of the Search for Records dialogue box, right-click and click New.
Content Manager inserts a new line, which is for entering an additional criterion. - In the Search for Records dialogue box, in the field Search By, enter closedOn
- In the drop-down box More Search Options, select Month and/or a year
- In the list field at the bottom, right-click the second line and click Parameter.
The Method Parameter dialogue box appears. - Select Prompt for a parameter value for this search....
The field Enter a short name for this parameter defaults to the field label, which is OK.
The field Enter a longer caption to display... reads Please enter value for Date Closed by default, which is OK. - Click OK
- In the Search for Records dialogue box, click OK to run the search.
- In the search result window, right-click and on the Search menu, click Save Search As.
The New Saved Search dialogue box appears. - Name the saved search and click OK
- The saved search is now available when you click Search - Saved Record Searches
- On the Search menu, click Saved Record Searches or Saved Location Searches
- Double-click the parameter search.
Content Manager displays the prompt that was set up for the search. - Fill in the details and click Finish to run the search
