Retention Management behaviour

  • Content Manager prevents you from putting a record with the disposition Active in a container record with the disposition Destroyed and displays a warning message
  • Only users with user type Administrator and Records Manager with user permissions Record Administration and Record Archivist can create paper records and enclose them in a container with the disposition Destroyed after a confirmation message
  • If a user - who must be user type Administrator or Records Manager with Record Administration and Record Archivist permissions - creates a record within a container that is Destroyed and they have the field DOS File on the New Record form, then the same message appears, but the electronic attachment will not be created
  • Content Manager updates the Last Action Date of an enclosed record when it updates Last Action Date of its container record
  • Using the Date Closed on a record will not affect the Last Action Date; for example, if a record has its Home Location trigger allocated in 2003 and has its Date Closed set at that date, Content Manager will not modify the Last Action Date for a destroy trigger and still use the date the record was last modified or moved. If the record is also transferred to its new Home Location - for example, secondary storage - then Content Manager will update the Last Action Date and therefore move the destroy trigger date forward.
  • When creating or modifying Retention Schedule triggers, the ones which are based on date Additional Fields will only display Additional Fields of type Date or Date and Time.
  • If a Retention Schedule has more than one trigger for a specific disposition type - for example, Destroy 6 years after Date Closed and another Destroy 10 years after Date Inactive, then both trigger date conditions must be met for the record to appear as due for destruction.

    The most severe date will be used as the date when the record needs to be destroyed.
