Records Management search methods

You can search for records by their communications data.

  1. From the Search menu, select Find Records
  2. At the bottom of the dialogue, click the Editor button and make sure that the Boolean search editor is selected
  3. Click KwikSelect beside the Search By box
  4. Click the expand symbol to expand Records Management
  5. Select one of the search methods.
    In the space below the list, you can see more detail about the search method.
    The column Caption shows the field or data the search method is about, for example:
    • Attached Thesaurus Term Details - to find records by the details of their attached Thesaurus terms, for example, Thesaurus term title and attach method
    • Automated Part Rule - finds records that have been created or closed using a selected automated part rule.

    • Communication - to search for records by an associated communication
    • Due for Return On - lists all records that are due to be returned within a given date range
    • Enclosed - to find records that have a container
    • Folder Origin - to find records by a value for Folder Origin
    • Has Contents - to find container records
    • Media Type - searches for records by their type of media, for example:
      • Unknown
      • Paper
      • Electronic Document
      • Optical Disk (CD/DVD/etc.)
      • Engineering Drawings/CAD
      • Magnetic Storage
      • Memory Storage
      • Microfilm/Microfiche
      • Photographs/Slides
      • Video Tape
    • Missing - lists records that are flagged as missing.

    • Request - to find records associated with a specific request
    • Requested By - to find records requested by a specific Location
    • Requested On - lists all records requested within a date range
  6. Click OK to return to the Search for Records dialogue
  7. Select the options to use for the search and click OK to run the search.
    Content Manager returns the search result.
