Record Type Containment page
The Record Type Properties - Containment page enables you to determine how containers will operate in Content Manager. Typically, boxes contain folders and folders contain documents. The following options allow you to create containment rules that are flexible, such as a top level paper only folder that has lower sub-folders which allow for electronic documents, depending on selected record types.
- Container Level - Container levels are determined by range from 0 to 9. 2 is default for document, 4 is default for folder, 6 is default for box.
After selecting a container level, you can determine its behaviour using the following dialogue options. - When adding these type of records to a container: - The record type will behave like a document going into a folder. Select the rule that applies to the currently selected container level.
- Container must have a level number greater than <container level> - the container must have a higher number than the current container
- Container must have a level number greater than or equal to <container level> - the container must have the same or higher number than the current container
- Container must have behaviour of <behaviour type> - only applies to box, folder (and paper folder) and document record types, which is set in Record Type General page
- Container must have a record type in the specified list - enables the Add button - select the record types that apply
- No container allowed - a top level container - the current container cannot be put inside another container
- When using these type of records as a container: - The record type will behave like a folder accepting documents. Select the rule that applies to the currently selected container level.
- Content must have a level number less than <container level> - records contained in the current container must have a lower level number
- Content must have a level number less than or equal to <container level> - records contained in the current container must have an equal or lower level number
- Content must have a record type in the specified list - enables the Add button - select the record types that apply
- No contents allowed - no records can be placed inside the current container
- Limit number of contained items to - set the maximum number of items that can be contained within a container type record.
- Allow non-administrator users to add records to closed containers of this record type - select this option to allow users who do not have administrator access to add records to closed containers.

NOTE: Modifying levels of existing Record Types - there may be containers of the Record Type with existing records with a higher level than the Record Type's new level. If this is the case, you should change these containers or the contained records to a different level. If you do not, then there will be records with higher levels than the containers they are in, which is against Content Manager record management rules. For example:
- Create a new Record Type with a level 4 and then a container - for example, Con1 - in that Record Type
- Create a new Record Type with a level 3 and then a record in that Record Type, for example, Rec1
- Make Con1 the container for Rec1
- If you then edit Con1's Record Type to level 2, you may think that the record remains at a lower level than the container. However, when you try to change the Rec1's container to that of a different level 2 container, Content Manager will display a message stating you cannot, even though its current container is already a level 2 container.
- When adding content that has a different disposal type to existing contents - from the drop-down menu, select the behaviour to occur when records are added to a container that have different disposal types. Select from:
- Ignore - allows all records to be contained.
- Display Warning - displays a warning that records with different disposal types are being contained.
- Prevent - stops the records from being moved into the container.
IMPORTANT: Records that have been created using the following Record Types can never be a Container:
- Client Records
- Matter Records
- SDM Documents
- Basic Electronic Documents
Records that have been created using the following Record Types can never have a Container:
- Client Records
- Matter Records
- Any Record Type that has the "Belongs to a Matter" option enabled
- SDM Folders
- Basic Electronic Folder
Container Relationships
- SDM Documents can only be contained within SDM Folders
- SDM Folders can only contain SDM Documents
- Basic Electronic Documents can only be contained within Basic Electronic Folders
- Basic Electronic Folders can only contain Basic Electronic Documents
