Workflow Activity Documents page

This page enables you to manage the Activity's documents.

The second column displays the icon for the kind of relationship between the document and the Workflow Activity:

Blue page icon with plus symbol indicates a Working Document, i.e. a document you create within the process of completing the Activity

Blue page icon with pencil indicates a Working Document (review), i.e. a Content Manager document that may have been created earlier in the Workflow that you may need to review or edit within the process of completing the Activity

Yellow page icon with tabs indicates a Reference Document, i.e. a Content Manager document that you may need to read or view within the process of completing the Activity

TIP: You can attach documents to the first Activity, which makes it easy to have an overview of all relevant documentation for a Workflow:

  1. Attach all documents relevant to the Workflow to the first Activity
  2. Reference them in the following Activities using Add Working Document (Review) or Add Reference, if you need to.

The third column shows the electronic document type, if there is one attached.

The document types available from this dialogue depend on the Activity settings.

Right-click in the dialogue box for the options:

  • Add
    • Add Working Document - attaches a working document from Content Manager to this Workflow

      NOTE: Content Manager always attaches working documents to the first Activity in a Workflow.

      • Placeholder Title - proposed title for the new document
        • Record must be associated before Activity can be completed - select to have the user select a document for the placeholder to complete the Activity
        • Supercopy from existing Record - searches for an existing record to act as a template. Content Manager will copy that record and attach the copy to the Activity.
        • Default Record Type - sets the default record type
        • Default Container - sets the default container
    • Add Working Document (Review) - to select a Content Manager document a user needs to review during this Activity.

      The Select Document dialogue box appears.

      Expand the Workflow documents or a previous Activity and select a document placeholder to review

      NOTE: An Activity can not have a review document created by an Activity following the current Activity.

    • Add Reference - to select a Content Manager reference document to include in the Activity.

      The Select Document dialogue box appears.

      Expand the Workflow documents or a previous Activity and select a document placeholder to reference

      NOTE: An Activity cannot reference the documents created by this Activity's successor Activities.

Once the first Activity in the Workflow has a document placeholder and is Ready to Start, the Activity Assignee can attach a document:

  1. Right-click the Activity and select Show Documents.

    Right-click the placeholder and choose from the options:

    • Record Supercopy
    • Local File
    • Content Manager record
    • Offline Draft Record

      TIP: Although the administrator of the Workflow may have specified for you to attach a supercopy to the Activity when you complete it, you will still have the choice to attach a local file or a document from Offline Records instead.
