Record Electronic page

If the record has an electronic attachment, the record's Properties dialogue box contains an Electronic page.

To display the Electronic page, right-click a record, click Properties and select it.

The Electronic page displays the details of the electronic attachment:

  • Source Document - physical Location that the electronic attachment was derived/sourced from. The Source Document data for an email will now show its folder and source mailbox owner. The Source Document includes its immediate parent folder and not the complete hierarchy. For example, if an email is stored in the folder efg@xyz.com\Inbox\Work\Important, it’ll be shown as efg@xyz.com\Important

    NOTE: This data does not update if you manually move an email from one folder to another in the email client. For example, if I move an email from the folder efg@xyz.com\Inbox\Work to efg@xyz.com\Inbox\Personal, the source data will still show efg@xyz.com\Work

  • Revision Number - number of different revisions that the attachment has been through
  • Date Modified - date that the attachment was last modified
  • Size - size of the attached document in bytes
  • Document Type - type of attachment and its generating application
  • Checked In By - user Location who checked in the attachment
  • Email Message ID - unique identifier for an email message. Available when the electronic document is an email message, and has been checked in with Content Manager 8.0 or later.
  • Email Conversation ID - unique identifier for an email conversation. Available when the electronic document is an email message, and has been checked in with Content Manager 8.0 or later.
  • Document Store - document store that the attachment is currently held within
  • Document Store ID - identification name of the attachment within the document store
  • Internet Media Type - type and subtype of content
  • Number of pages - the number of pages in this electronic document.

NOTE:

  • When closing a Microsoft Office document, the number of pages displayed in Office 'Properties' is what will be displayed in Content Manager. The larger the Microsoft Office document, the longer it takes to generate this number.
  • The number of pages is only profiled when the document is first checked in. If this changes, the user can manually edit this field.

  • Edit Status - current status of the attachment - for example, in store, checked out, Managed in Place and finalised

    If the Edit Status for the document is Managed in Place, then a backup copy is stored in Content Manager. You can view the details of Backup Date, Backup MIP file, and Backup MIP Store in the view pane > Properties tab of the record.

  • Checked out by - user Location that currently has the attachment checked out
  • Since - date that the attachment was checked out
  • Path - location on a computer - where the attachment was checked out to
  • Check Hash - this function will extract a copy of the document from the document store, calculate a hash and then check that the calculated hash matches the hash that was stored when the document was first submitted. The function is not available if no hash was stored at the time of creation.
  • Calculate Hash - this function also extracts a copy of the document from the store and calculates a hash. It then does one of three things: 1) if the document didn't have a hash it stores the hash for the document; 2) if the document did have a hash, it checks it and if the check fails, the new hash is stored; 3) if the check succeeds no update is done.
  • View - to view the attachment in the Content Manager viewer or its associated application - if a bypass is set on the file type.
