  • Can I have multiple Classification plans?

    Content Manager only enables the use of a single Classification plan. It is possible to include many different Record Types within this Classification plan.

  • Can I guarantee sequential numbering of the same Record Type?

    If more than one Record Type uses the same Classification - for example, if you use the same Record Type for checking in both physical mail and email, records of the same type will not have sequential numbering.

  • How do I create multiple child levels or subordinates? What does the unable to create subordinate level error message mean?

    It means that the level already exists. To prevent this error, you need to specify a subordinate numbering pattern that ensures the next child/subordinate level is unique.

    Checking the numbering pattern of a level:

    1. Right-click the level and select Properties
    2. Select the Numbering tab
    3. Check that the Subordinate Plan Numbering Pattern uses placeholders that ensure the next level to be created is unique.
  • Why can I not delete this Classification?

    If a Classification has records attached to it or has child or subordinate levels, then you cannot delete the level until all the records and child or subordinate levels stored there are moved or deleted.

  • How do I set up a Classification plan with non-sequential numbers from an existing Classification plan?

    If your existing Classification plan has gaps between Classification numbers, you can recreate these patterns in the Classifications - Top Level dialogue box by changing the first number value for new levels.

    Creating a non-sequential numbering system for the top plan level:

    1. From the Classifications - All dialogue box, select the affected plan level
    2. Right-click and select Properties
    3. Select the Numbering tab
    4. In the Allow new records to be attached to this Classification section, Start Numbering After field, type a number one below the number you require - for example, to start the numbering of the next top level at 500, you should type 499

    Creating a non-sequential numbering system in a Classification plan for child or subordinate levels

    1. In the Classifications - All dialogue box, select the affected Classification
    2. Right-click and select Properties
    3. Select the Numbering tab
    4. In the Numbering of subordinate levels of this Classification section, Start Numbering After field, type a number one below the number you require - for example, to start the numbering of the next top level at 500, you should type 499. This will change the subordinate Classification's number.

    Changing the record number generated when creating records:

    1. Save the changes above and select the subordinate level
    2. Right-click and select Properties
    3. In the Allow new records to be attached to this Classification section, Start Numbering After field, type a number one below the number you require.

      For example, to start the numbering of the next top level at 500, you should type 499.
