Workflow Activity General page

  • Name - name of the Activity within the template
  • Assigned To - Location that the responsibility for the Activity has been assigned to.

    NOTE:

    • When an Activity is assigned to a Group, Committee, Position, Project Team, or Organisation, the Activity will not be automatically started, even if the option in the Workflow Properties is set to Automatically Start Activity when they are ready to start.

      This is contrary to when an Activity is assigned to an individual - the Activity will be automatically started either when the preceding Activity has been completed or, if the Activity is the first in the Workflow, when it becomes assigned.

    • Any member of the Group or Position can complete the Activity when it is in the Ready to Start state.

    • The Assignee of an Activity cannot be the Supervisor of the same Activity.
    • If an Activity is assigned to an Organisation that has a hierarchical structure, that is has locations associated within it (Has Member relationships), and the Organisation has no email address associated to it, the email notification will be sent to locations within the structure that have email addresses, down to two levels in the location hierarchy. If the hierarchy has a deeper than 2 level structure, the locations beyond 2 levels will not receive notifications.

  • Supervisor - Supervisor of the Activity
  • Estimated Duration - this is the estimated time needed to complete this Activity.

    Enter the days, hours and minutes values.

  • Estimated Cost - type the cost of the Activity, if needed, to use it for billing purposes
  • Priority - enables users to organise their Workflows and Activities by something other than the currently available metadata fields in an ad-hoc manner.

    Each Workflow and Activity has a priority property which has five different levels:

    • Very High
    • High
    • Medium
    • Low
    • Very Low
