Available fields

This section of the dialogue box lists the available fields that you can display on a form.

Once you have expanded a category and selected an item, click Insert ^^ to add it to the active form.

NOTE: This section does not include the title and numbering fields.

The record title is mandatory and automatically appears at the top of the form.

Content Manager creates record numbers when you save your new record.

These fields are in three categories:

  • Stock Properties - the available metadata fields that can be on a New Record form.

    These fields are in addition to the fields required to title and number the record.

  • Multiple item list pages - these pages will display a list repeatable properties and allow users to add, edit and remove data. These pages can be ordered on the form in the order that suits the organisational needs.
    • Attached thesaurus terms
    • Contacts - this includes all authors, addressees, representatives and other contacts
    • Record holds - this includes all the holds the record has been added to.
    • Record jurisdictions - this lists all the jurisdictions that apply to the record.
    • Related records - this lists all related records (excludes container)
    • Renditions - this list all the created renditions.
    • Revisions - this includes all saved revisions.
  • Special purposes pages - special pages cannot be tailored by users. The fields on these special purpose pages are often interrelated and require specific user interface functionality. These pages can be ordered on the form in the order that suits the organisational needs.
    • Add Communications (for new records only) - a page to allow for the addition of communications pertaining to a record
    • Additional Fields - a page to allow the display and modification of all additional fields for this record

    • Document Review - a page to allow for a document review procedure for the record
    • Electronic - displays the details of the attached electronic document.
    • Notes - a page to allow for the display and modification of notes
    • Record Actions
    • Security/Access - a page to allow for the display and modification of security, caveats and access control on a record.

NOTE: If a field's caption has been changed for all Record Types using the caption editor, those fields will appear with the new caption when added to new forms.
