Recreate word indexes
The Recreate Word Indexes function enables you to reindex the text fields in a Content Manager dataset, for example the record titles. You can also do that for a selection of records, rather than the entire dataset.
It is not for metadata or document content indexing. For these functions, see Content Manager Enterprise Studio Help.
To reindex the text fields in your entire dataset, it is recommended to use the Content Manager Enterprise Studio function Reindex, as it is faster and provides more configuration options. See Content Manager Enterprise Studio Help for details.
Recreate Word Indexes can reindex the following items:
- Records (title, notes, Additional text Fields) to rebuild record indexes.
You can also reindex a selected record. See Re-indexing.
- Classifications - title, notes - to rebuild the Classification index
- Schedules - title, notes - to rebuild the Schedule index
- Thesaurus terms - Thesaurus terms text, notes - to rebuild the Thesaurus index
- Physical Addresses - to rebuild the Location's address index
- Communication details - addresses associated with Communications - to rebuild the communication address index
- Archiving Events - title, description, notes - to rebuild the word index used in archiving events
- Workflows - name, notes - to rebuild the word index used in workflows
- Activities - name, notes - to rebuild the word index used in activities
- Locations - display name - to rebuild the word index used for Location names
- Additional Fields for other objects - to rebuild the word index for Text type Additional Field fields.
- Other notes - select this option to rebuild the word index for other Content Manager object notes not listed above.
You will need to run this function when:
- It appears that not all your records have been indexed/calculated properly
- You have imported data
- You are upgrading from a previous version Content Manager database
This will ensure more accurate word searching in Content Manager.
The recreate word indexes process will run across the dataset, reindexing all selected elements.
- From the Administration ribbon, select Reindex.
The Indexing dialogue box appears.
- Items to be Reindexed - select which elements will require reindexing - click Select All button to select all the options
- Restart Record Processing from Date Registered - refine the number of records being reindexed by using this option
- Once selected, click Run to start the process.
How long the reindexing process takes depends on several variables:
- Number of records
- Number of words in record titles and notes fields
- Capacity of network
- Number of users on network and type of functions being performed
