Record Renditions page
The Renditions page on a record's Properties dialogue appears when the record has an electronic attachment.
Right-click a record and click Properties to select it.
The Renditions page enables you to add, modify and remove additional renditions of the selected record’s electronic attachment.
For example, the original rendition may be in Microsoft Word format (*.docx) while other renditions may be in different formats, for example, *.txt, *.rtf, *.pdf.
The list pane on this page displays the renditions on the record.
The tabs below the view pane display the selected rendition's:
- Properties
- Notes
- Preview
- In the Renditions page, right-click, and then click Add Rendition.
The New Rendition dialogue box appears with the tabs Electronic Rendition and Notes.
- In the Electronic Rendition page, select the Rendition Type.
The available formats
- OCR text – Optical Character Recognition text, rendition of the original document, created by identifying and extracting text from the image of the document, for example, a scanned newspaper image. This is the only rendition format that Content Manager indexes the document content of.
There can only be one rendition of this format attached to a record. - Annotation – rendition with additional metadata associated with the original document.
There can be multiple renditions of this format attached to a record. - Machine Independent Format – rendition of stored data in a format that can be read by a variety of computers independent of the computer's operating system. There can only be one rendition of this format attached to a record.
- Multimedia Annotation – rendition generated by creating associations between documents, the simplest form being the association of keywords with documents. There can be multiple renditions of this format attached to a record.
- Native Mail Format – rendition of email item in its original format.
There can only be one rendition of this format attached to a record. - Transparent Redaction – redacted image rendition, with the redaction appearing transparently on the original document. The option Administration - System Options - Record page - Save a transparent form of the redaction as a rendition of the original Record must be selected.
There can be multiple renditions of this format attached to a record. - Long Term Storage (PDF) - .pdf file rendition for long term storage.
There can be multiple renditions of this format attached to a record. - Redactable - .tiff/.tif file renditions of the original document.
There can be multiple renditions of this format attached to a record. - Single Page View - renditions for each page of the original document.
There can be multiple renditions of this format attached to a record. - HTML Representation – HTML formatted representation rendition of the original document.
There can be multiple renditions of this format attached to a record. - Custom 1 - 6 - the Content Manager administrator can make up to six different custom rendition formats available that can appear in this list.
They become active when the caption is modified in Administration - Caption Editor, then Objects - Record - Child Object - Rendition - Enumerated List - Rendition Type - Custom 1 to 6.
There can only be one rendition of each format attached to a record.
NOTE: Due to the nature of digital signatures, you cannot create a signed rendition from the Properties window of a record in the Renditions page as you would create other rendition types of a record.

- Source document - type in the location or use Browse to select the rendition file

Description or Reason - type your reason for the rendition
Once you select the Rendition Type and Source document, the Description or Reason is auto filled with file name and author name. You can modify the description or reason as needed. Click in the text box and type in your description or reason.
- Internet Media Type - optional - type and subtype of content
- Number of pages / Page Number / OCR Confidence Level - optional - for Number of Pages, enter the total number of pages.
In the field Page Number, you can enter the number of the page within the multi-page document.
For the rendition type OCR text, the field name changes to OCR Confidence Level, in which you can use a scale of 0 to 100 to describe the result of the optical character recognition (OCR) process that is the basis of this rendition. 0 means that the information is not available, 100 means that all characters were recognised correctly.
NOTE: For the rendition type Single Page View, Number of Pages is always 1.
- Added On - the date the rendition was added
- Last Modified - the date the rendition was last modified

Size (bytes) - the size of the rendition

Store Name - the document store for the rendition.
Only a user of user type Administrator can see the store name. -
Store ID - the name of the rendition in the document store.
Only a user of user type Administrator can see the store ID. - Click OK.
Content Manager adds the rendition to the record.
- In the Renditions page, right click the rendition to modify and then click Properties.
The Rendition dialogue appears. - Modify the values that need changing. See Adding a record rendition above for details.
- Click OK.
Content Manager saves your changes to the rendition.
- In the Renditions page, right-click the rendition to view, and then click View.
The rendition appears in Content Manager Viewer.
Extract is available after the record has been saved.
- In the Renditions page, right-click the rendition to extract, and then click Extract.
The Extract Electronic Document dialogue box appears. - Fill in the details and click OK.
Content Manager saves the document to the specified location.
- On the Renditions page, right-click the rendition to delete, and then click Delete Rendition.
A confirmation message appears. - Click OK to confirm.
Content Manager deletes the rendition.
- On the Renditions page, right-click the rendition to print, and then click Print Document.
The Print dialogue appears. - Choose your print options, and then click Print or OK.
Content Manager prints the rendition.
