Search Sort tab

In the Sort tab on a Search dialogue box, use the following options to sort a search results list:

  • Use default sort order for searches - select this option to use the default Sort option settings. Clear this option to enable the Sort Fields.
  • Sort Fields - use the drop-down list to select the fields by which you want Content Manager to sort the search results.

    The options that are available to you in these drop-down boxes depend on what you are searching for and which search editor you are using.

    • 1, 2, 3 - you can specify one, two or three sort fields.

      Content Manager will sort the list by the field in the first box, then by the field in the second box and finally by the field in the third box.

      • No Sort - default.

        Results appear as the search inquiry finds them in the dataset.

        Use for faster searching.

  • Descending - select for descending sort order.

    By default, Content Manager sorts a list in ascending order of its sort field - with the lowest numerical, date or alphabetical value at the top of the list and the highest value at the bottom.

  • Use alphabetical order for object sorting - this option sorts a result alphabetically by either Record Type, Classification, Schedule or Consignment.
  • Set as default sort order for searches for records - select this option to save the selected sort options as the default for all future searches.

NOTE:

  • Sort orders applied using the Search dialog - Sort tab will cascade to child items as well, e.g. documents within containers will be sorted by the same applied sort methods. If sorting is done using a column header, only items at the top level of the hierarchy are sorted. See CM23.4_Spec.pdf in the Content Manager installation folder's Documentation folder for known behaviors and limitations.
  • Record Types sort order - changes to the sort order of a Record Type take effect after a Workgroup Server restart. The sort order will not be changed for the current window, but any new window will show the new order. See Content Manager Enterprise Studio Help about Workgroup Server options.
  • When you sort by Content Manager items like Classification, Record Type, Retention Schedule or Media Type, the results are grouped rather than sorted, which is expected behaviour because of the underlying code.
