US DoD 5015.2 Chapter 4 classified security standard

  1. To apply the US DoD 5015.2 Chapter 4 classified security standard to records in Content Manager, the system option in Administration - System Options - Features page, Classified Security must be selected
  2. After selecting the option, when you right-click a record and on the Security and Audit menu, click Security/Access, the Security dialogue box appears with a number of additional tabs that enable you to refine the record's classified security details and apply Security Guide Entries.

  3. You should also create one Additional Field called Date Superseded to meet the standard requirements, which sets Content Manager to capture the date when a record is superseded.

NOTE:

  • Security classifying records - the Security dialogue box is designed to contain all security classification information.

    The Security field available for New Record forms and therefore the record Properties dialogue box - General tab will also display the Security Classification, Update Security Classification, Security Caveats, Downgrade On and Declassify On tabs.

  • The Security dialogue box operates with the following additional business rules:
    • Content Manager will set the field Current Security Classification (when first filed) automatically to be the security classification of the record at the time it is created.
    • You cannot leave the field Reason(s) For Security Classification blank unless Security Level is Unclassified.

      When you type more than 512 characters in this field, a message will warn you that the field will be truncated.

    • Content Manager completes the field Classified By automatically with currently logged in user
  • If a Security Guide Entry is selected in the field Derived From (Security Guide Entry(s)), Content Manager will automatically complete the fields:
    • Current Security Classification (when first filed)
    • Reason(s) For Security Classification
    • Classified By
    • Classifying Agency
    • Classified On
    • On the Declassify On tab:
      • Exempt from declassification
      • Declassify on the specified date
      • Declassify after a specified number of years
      • Declassify after the specified event/Event and Date
  • The functionality is not available for tagged records, only individual records
  • If you have set Content Manager to use large folders, you should not use this option. See the relevant section in Large folders.
