Record Revisions and Renditions
Record Revisions
Content Manager enables you to create multiple revisions of an electronic document.
A revision is a modified copy of the document. You can attach multiple revisions of an electronic document to a single record. When you choose to check in an electronic document that has been checked out, you can create a new revision of the document. A document being returned will be added to the record, the older revision being saved as a previous revision.
Depending on your user permissions, you may be able to:
- View a record Revision
- Promote record Revision
- Delete a record Revision
- Preserve record Revisions
- Show the current Revision
Viewing a Revision
To view a record's Revisions:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Revisions.
The Revisions panel will open, displaying all Revisions associated with the record.
- On the list of Revisions, click the Revision you want to view.
The Preview panel will update and display the content of the selected Revision.
To update the Preview panel with the current Revision, click Show the current Revision 
Promoting a Revision
The Web Client enables you to promote a particular Revision. This means that the promoted Revision will appear as the latest Revision attached to the record.
To promote a record's Revision to become the current Revision:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Revisions.
The Revisions panel will open, displaying all Revisions associated with the record.

On the list of Revisions, click the Revision you want to promote.
The Preview panel will update and display the content of the selected Revision.
- Click Promote the selected Revision
and the selected Revision will become the new current Revision, and the original document will become a Revision.
Preserving a Revision
The Web Client allows you to flag a revision as being significant and therefore prevent it from being removed when the document is finalized or when you choose to delete previous revisions.
With this function, users can distinguish between a revision that marks a milestone in the preparation of the document and a revision created as part of the drafting process.
To preserve a record's Revisions:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Revisions.
The Revisions panel will open, displaying all Revisions associated with the record.
- On the list of Revisions, select the Preserve option on the Revision you want to preserve.
Deleting a Revision
To remove a Revision:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Revisions.
The Revisions panel will open, displaying all Revisions associated with the record.

On the list of Revisions, click the Revision you want to delete.
The Preview panel will update and display the content of the selected Revision.

Click Delete the selected Revision

Click OK to confirm the deletion.
NOTE: The Revisions panel can be closed by clicking the X on the Revisions panel.
Downloading a Revision
The Web Client allows you to download previous revisions without having to promote them to be the current revision.
To download a Revision:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Revisions.
The Revisions panel will open, displaying all Revisions associated with the record.

On the list of Revisions, click the Revision you want to download.
The Preview panel will update and display the content of the selected Revision.

Click Download

The revision is downloaded to your system.
NOTE: The Revisions panel can be closed by clicking the X on the Revisions panel.
Record Renditions
Renditions are a different format of a record, for example, the original rendition may be in Microsoft Word format (*.docx) while other renditions may be in different formats, for example, *.txt, *.rtf, *.pdf.
Viewing a Rendition
To view a record's Renditions:

On the selected record, click View.
The Preview panel displays the HTML representation of the electronic document.

On the Preview panel, click Renditions.
The Renditions panel will open, displaying all Renditions associated with the record.

On the list of Renditions, click the Rendition you want to view.
The Preview panel will update and display the content of the selected Rendition.
NOTE: The Renditions panel can be closed by clicking the X on the Rendition panel.
