Search Editor

The Content Manager Search Editor provides an user interface to allow users to build both simple and complex searches using a single editor.

Creating a Single Clause Search

To create a simple single clause search using the Search Editor:

  1. From the global Search panel, click the Content Manager object selector and from the displayed drop-down list select the Content Manager object type to be searched on, e.g. Records, Locations, User Labels.
  2. From the global Search panel, click Search Editor

    The <ObjectType> Search dialogue appears.

  3. From the list of displayed methods, select the method to be searched for, or search for the method by typing in the Select Method field, then select the required method from the displayed results.

    The Add new search clause details will appear on the Search Editor.

    NOTE: The list of methods can be displayed either Alphabetically or by their Category, to swap between the display styles, click the display type name.

    If the method is unknown, in the Select Method field, type in a word that is related to what the Search Method is about and then select the method from the displayed list. For example, if you want to search for the location of a record but are unsure of the correct Search Method name, you can type in location and a list of Location type Search Methods, as well as Search Methods containing the word Location will be displayed. This reduces the displayed list of search methods enabling you to find the required one.

    The Add new search clause section will appear on the Search Editor.

  4. If the search method requires it, from the drop-down list, select the type of search to be run. Depending on the type of search method selected, these options can include:

    • Date range - search items using a single date or a range of dates. Dates can be typed in or selected using the Calendar.
    • String format - search for items using a string type date, e.g. today, previous week, this year, or a typed in date format, e.g. 10/10/2010-30/10/2010; or
    • Select single item - type in the required search criteria.
    • Select all items that match a search - select this option to create a sub-search (see Creating Sub-Searches for details).
  5. Type your search criteria/parameter into the search method field.

    NOTE: For text type search methods, to match the exact search criteria, select Group words as a phrase and only records that match that exact phrase will be returned. This phrase will be passed to the search engine in the required format, that is, <searchmethod>:"\"A B C\""

    When using the IDOL search method to search Additional Fields, the search criteria must be entered enclosed in quotation marks, e.g. idol:"(searched word/phrase):TS_UDF", with the UDF name prefixed with TS_

  6. Select Not or Recursive or Phrase Searching, if required (see links for additional details).

  7. Click Add search clause.

    The Search Clause will be added to the Build Query field.

  8. Click Search.

The search results will be displayed on the relevant Content Manager object panel.

Creating a Multiple Clause Search

To build a search that has more than one search clause:

  1. From the global Search panel, click the Content Manager object selector and from the displayed drop-down list select the Content Manager object type to be searched on, e.g. Records, Locations, User Labels.
  2. From the global Search panel, click Search Editor

    The <ObjectType> Search dialogue appears.

  3. From the list of displayed methods, select the method to be searched for, or search for the method by typing in the Select Method field, then select the required method from the displayed results.

  6. Select Not or Recursive or Phrase Searching, if required (see links for additional details).

  7. Click Add search clause.

    The Search Clause will be added to the Build Query field.

    Repeat steps 3 to 7 for each additional search clause that is to be added to the search.

    Each search clause will be joined by an AND Boolean operator, by default. To change this to an OR Boolean operator, click the Boolean pill and click Or from the displayed list. See Boolean Operators for additional information.

  8. Click Search.

    The search results will be displayed on the relevant Content Manager object panel.

    NOTE: The search clauses are passed to the global Search panel when a search is run. A search can be edited using this panel or by using the Search Editor, see Editing Searches for details.
    Please be aware that if you change the Content Manager object type to be searched on, the search clauses relevant to the previously selected object type will be retained within the global Search panel and within the Search Editor if you open it to edit or amend the search. To remove these clauses, on the Build Query field, click Clear, or individually clear the clause(s) by clicking the delete X option in the search clause pill.

Filtering and Sorting

Search results can be filtered and/or sorted before the search is run using the Filter and Sort tabs on the Search Editor dialogue, or search results can be filtered and/or sorted after the search has been run. See Filtering and Sorting for details.
