Workflow

The Workflow allows you to initiate Workflows based on existing Workflow Templates and to take action on Workflow Activities.

To access Workflow, perform the following step:

  1. In the Outlook item that you want to access Workflow, navigate to More actions > Content Manager > Record.
  2. In the task pane, click Properties or Context tab of the record, navigate to Menu > Workflow.

Initiating a Workflow

To initiate a Workflow , perform the following steps:

  1. Navigate to Menu > Workflow > Initiate Workflow from either Properties or Context tab. The New Workflow pane is displayed.
  2. Enter the template name or click KwikSelect to display list of templates.
  3. Select the template for Initiate Workflow from Template.

    The Initiating Record is the record number of the current record and Initiating Record behavior is auto filled based on the template.

  4. Click Save.

Complete Current action

To complete the current action, perform the following steps:

  1. Navigate to Workflow > Show Actions/Procedures from either Properties or Context tab.

  2. Select an action from the list displayed.

  3. Navigate to Menu > Workflow > Complete Current action.

    A confirmation dialog is displayed.

  4. Click OK.

Reassign Current action

To reassign the current action, perform the following steps:

  1. Navigate to Workflow > Show Actions/Procedures from either Properties or Context tab.

  2. Select an action from the list displayed.

  3. Navigate to Menu > Workflow > Reassign Current action.

    The Reassign dialog is displayed.

  4. Select the location to which you want to reassign the current action.
  5. Click OK.

Action/Procedure

To assign action or procedure to a location, perform the following steps:

  1. Navigate to Menu > Workflow > Action/Procedure from either Properties or Context tab.

  2. Click KwikSelect or type in the action you want to assign to the Workflow.
  3. Click KwikSelect or type in the location responsible for the action.
  4. Select Assign only if Action has no default responsible Location or Assign to this Action and any subordinate Record Action.
  5. Select one of the options as to when this new action should begin.

    • On a specific date - click calender and select the date on which this action should begin and click the down arrow to select the time at which this action should start.
    • Before any existing record actions for this Record - start the action before the existing record actions.
    • After any existing record actions for this Record - start the action after the existing record actions.
  6. Click Save.

Repeat these steps for other Actions or Procedures you want to attach to the record.

Once an Action or Procedure has been attached to a record, you can either reassign it to a different Location or complete the current action.

Show Actions/Procedures

To view the actions or procedures, perform the following steps:

  1. Navigate to Workflow > Show Actions/Procedures.

    A list of all the actions or procedures is displayed. The details on the Actions Properties are mostly read-only.

    You can select a particular action and can either reassign it to a different Location or complete the current action.
