Exposing record from Content Manger to MS Teams

To expose record from Content Manager to MS Teams, perform one of the following:

  1. In the client side Content Manager app, navigate to the channel, click Content Manager tab, and then click Files.

  2. Click the Menu on the top right and then select Expose Records from the menu.

Use the filters and search for the record(s) you want to add to the channel.

  3. Select the record(s) you want to add and then click Add.

If the record is already Check Out, the option to select the record is disabled and a message is displayed that the record is already checked out.

If the record is finalized and you click Add, a message is displayed that the record is already declared as final and hence cannot be copied.

NOTE: You cannot select records that have Edit Status as Checked Out or Managed In Place in Content Manager.

    A confirmation dialog is displayed.

  4. Click OK in the confirmation dialog.

The selected record(s) is exposed to the channel.

NOTE: Because Content Manager does not have any control over the behavior of OneDrive, in MS Teams integration, exposed records can be modified by owner of the channel.

NOTE: Once we expose any record in the MS Teams, the document will be in OneDrive. There is no synchronization between the record in the Content Manager client and the document in the OneDrive after exposing it in MS Teams. Hence, the changes made to the document in the Content Manager client will not be reflected in the exposed record of the MS Teams. Only the increment to the revision number will be reflected in the exposed record of the MS Teams due to metadata property updates from the database.

Also, once the record is exposed, you cannot modify or edit the document associated with exposed record and Check In back to Content Manager client.
