System Options Contacts page

On the Administration tab, click System Options - Contacts page.

  • Default setting for Record Assignee (unless otherwise specified)
    • Current Login - default
    • Default Position of Current Login
    • Default Organisation of Current Login.
    • Use owner location from the classification
  • Default setting for Record Owner (unless otherwise specified) - select from the following for the source of the default Owner Location.

    NOTE: When the Default setting for Record Assignee is set to Default Organisation of Current Login and the currently logged in user has a Position, then the default will not work correctly.

    • Assignee - default
    • Default Organisation of Assignee
    • Use owner location from the container

    During the creation of a record, the Owner Location will change if a container is selected which has a different Owner - i.e. this option forces the Owner Location of the record being contained to be the same as the container's Owner Location.

    If the system option is not selected, then the Owner Location will not change to the container's Owner Location.

    A user can overwrite the default behaviour during record creation.

  • Default setting for Record Home (unless otherwise specified) - select from the following for the source of the default Home Location:
    • Assignee - default
    • Default Organisation of Assignee
  • When creating a new record with contacts of an unknown location type - select from the following to set the behaviour when records are being created with contacts that are of a unknown location type.
    • Ignore - selecting this option will allow the user to create the record without displaying the Resolve Unknown Locations Type dialog.
    • Display Warning - when this option is selected, if a record is created with contacts that are of an unknown type, the Resolve Unknown Locations Type dialog will be displayed, allowing the user to either update the Location type of the unknown location, or to skip the resolution process.
    • Prevent - when this option is selected, the if a record is created with contacts that are of an unknown type, the Resolve Unknown Locations Type dialog will be displayed, allowing the user to update the Location type of the unknown location.
  • Allow users to only store the contact name when adding contacts to record - this option allows you to store a contact without creating a location in Content Manager when you create a record.

    For example, when you create a record, you can have contact name(s) in the field, for example Author or Addressee, without them being a location in Content Manager.

    IMPORTANT: For this option to be available, make sure that the options in Validating locations in data entry field in the System Options > Locations page are unchecked, i.e., the options Use strict validation for Record Contacts and Use strict validation for any other uses of Locations are unchecked. See System Options Locations page.

    And also either Ignore or Display Warning is selected for When creating a new record with contacts of an unknown location type option.
