Finding records by Location
Using this feature, you can, for example:
This enables you to find records by their Assignee, Author, Creator, Contact, Home or other Location field, if you know it.
- Find the Location whose records you want to view - see Finding Locations
- Right-click a single Location, or multiple tagged Locations, and use the Show menu to display their records.
Content Manager displays the records you selected.
- On the Search menu, click Find Records.
The Search for Records dialogue box appears. - In the Search By field, click KwikSelect.
The Search Methods dialogue box appears. - Expand the category Contacts, People and Places, select the record field to search by, for example, Assignee, and click OK
- In the field Enter the Location to search by, enter the name of the Location who is, for example, the record assignee.
Click KwikSelect if necessary to see the Content Manager Locations that match the name. - Select the Location and click OK.
Content Manager displays the records with that Location, for example, as assignee.
This enables you to find records with Locations that match specific criteria, like an address detail, which can be useful when the exact Location name is not known.These instructions use the physical address detail city as example.
- On the Search menu, click Find Records.
The Search for Records dialogue box appears. - In the Search By field, click KwikSelect.
The Search Methods dialogue box appears. - Expand the category Contacts, People and Places, select the record field to search by, for example, Assignee, and click OK
- In the field Select search style for Location, select A selection of Locations
- In the field Enter a valid search string for selecting Locations, click KwikSelect.
The Search for Locations dialogue box appears. - In the field Search By, click KwikSelect.
The Search Methods dialogue box appears. - Expand the category Contacts, People and Places, select the Location data to search by, for example, Physical Address Details, and click OK.
You are back in the Search for Locations dialogue box. - In the field Please enter a valid string for selecting Physical Addresses, click KwikSelect.
The Search for Physical Addresses dialogue box appears. - In the Search By field, click KwikSelect.
The Search Methods dialogue box appears. - In the Contacts, People and Places category, select the address details to search, for example, city, and click OK.
You are back in the Search for Physical Addresses dialogue box. - In the field Choose operator and enter string value to search for, enter your criteria, for example, Canberra, and click OK.
You are back in the Search for Locations dialogue box and the string you just created reads city:Canberra. - Click OK and you are back in the Search for Records dialogue box.
You are now searching for records that have an assignee whose physical address details match the city Canberra.
The string is address:[city:Canberra]. You can also type search strings manually when you are familiar with their syntax. See Using the string-based search editor under Format. - Click OK.
Content Manager displays the records with assignee Locations whose physical city address is Canberra.
This enables you to find records that match any of a number of Locations in a record field, for example, all the records whose assignee is one of your team members.
- On the Search menu, click Find Records.
The Search for Records dialogue box appears. - In the Search By field, click KwikSelect.
The Search Methods dialogue box appears. - Expand the category Contacts, People and Places, select the record field to search by, for example, Assignee, and click OK
- In the field Select search style for Location, select A list of Locations.
- In the field Enter the Location to search by and press Add to add to the list, enter the names of the Location one by one and click Add to add them to the list.
Click KwikSelect if necessary to see the Content Manager Locations that match the name. - When the list is complete, click OK.
Content Manager displays the records with one of these Locations as, for example, assignee.
This enables you to find records that match a particular Location and specific date criteria at the same time. You could add more criteria as described below. See also Using the operators in the Boolean search editor.
- On the Search menu, click Find Records.
The Search for Records dialogue box appears. - In the Search By field, click KwikSelect.
The Search Methods dialogue box appears. - Expand the category Contacts, People and Places, select the record field to search by, for example, Assignee, and click OK
- Underneath the box Select search style for Location, press the button New to add a second line to the criteria box
- In the field Search By, click KwikSelect.
The Search Methods dialogue box appears. - Expand, for example, the Dates and Times category, select Date Created and click OK
- Use the fields Enter a date and optionally a to date for a range search and More Search Options to enter your date criteria and click OK.
Content Manager displays the records with this Location as assignee and matching the dates you selected.
