Moving records to space management

The Space management function enables you to set a record's Location to a Space management system location.

  1. Search for the records you want to store in the Space management system
  2. Right-click and select Locations - Home.

    The Home Location dialogue box appears.

    • Set As Space - activates the Location field.

      Type or use KwikSelect for the position within the Space management system where the record will reside.

      NOTE: You must either select a Space level configured as a Holding Bay or the lowest Space level in the selected level hierarchy. In the Spaces dialogue box, click Search to refine the list of displayed levels.

    • Using Allocation Method - sets how Content Manager should transfer the record to the Space location:
      • Simple transfer - to the selected Space level
      • To Holding Bay - to the selected Space level's holding bay.

        This includes all Space levels except the lowest level.

      • To unused lowest level Spaces - to the selected Space level's lowest unused level
      • To contiguous set of lowest level Spaces - to the selected Space level's next set of unused lowest Space levels.

        This will place the records together in the Space.

        For example, if you have a Space system that has three available Spaces but have five records to allocate, Content Manager will find a new lower Space level that all records can fit together.

      TIP: If you do a refine search, select To contiguous set of lowest level Spaces.

      This will enable you to specify a space that has room for the indicated number of records.

      Before processing, Content Manager will display a message when there is not enough room. You can press No and find a more suitable space.

      In the Spaces dialogue box, you can add a column called Has Holding Bay to help you determine which spaces have a Holding Bay.

    • Log all Records transferred to output file - creates a log file with the details of the Space management system location changes. Type or click Browse for the path and file name you want to use.
    • Click OK

      Content Manager will move the record to the Space system.

To remove a record from the Space management system, just change its Home Location.

NOTE:

  • You cannot assign records to a Space level if the Record Type does not allow a Home Location within the Space management system. The Space management option will be unavailable.
  • You cannot set or change the Home Location from a Space management system level using the record Properties dialogue box - General tab. Use the Home Location function.
