Deleting Thesaurus terms

Removing Thesaurus terms from the Thesaurus can be a complex process, as the terms may be in use in record titles or attached to records:

  1. Search for all records using the term you want to remove
  2. Check each record to see how it is using the term.
  3. Depending on how the term is used by the record(s), follow the relevant steps:

    Attached terms

    1. Select the record or tag the records, right-click and select Details - Thesaurus Terms.

      The Select From Thesaurus Terms dialogue box will display the attached terms.

    2. You may want to note down the attached terms so that you can determine which terms to replace them with, if any.
    3. In the Attached Terms list, select the term you want to remove and click Remove.

    4. Remove the term from the Thesaurus by right-clicking the term, then select Delete.

      NOTE: If the term is still in use by other records, you will not be able to delete it.

    Terms used in record titles

    1. Select the record or tag the records using the term in the title
    2. Click Manage - Record Types, right-click the affected Record Type and select Properties.

      You may need to do this for each record that belongs to a different Record Type.

    3. Change Titling method to Free Text.

      NOTE: Ensure that users do not create any records with this Record Type while you perform this process.

    4. Right-click the record(s) and select Properties.

      You will notice that the Thesaurus term component of the title is now included in the free text component and there is no structured title component.

      If you modify a record and its Record Type is set to Thesaurus titling, you will see both an auto title and free text title components.

    5. Select the Attached Thesaurus Terms tab
    6. Right-click the term that was in the title and select Delete
    7. Click OK to close the Properties dialogue box
    8. Remove the Thesaurus term from the Thesaurus by right-clicking the term and then select Delete.

      NOTE: If the term is still in use by other records, you will not be able to delete it.

    9. Select Thesaurus titling for the Record Type in its Properties - General tab.
