Workflow template Activity Options page

The Options page contains default options for the Activity.

  • Email notifications required for this Activity - sets Content Manager email notifications for this Activity.

    The email messages generated also depend on which system options are set.

    • When it is assigned - emails the Assignee
    • When it is reassigned - emails the new Assignee
    • When it is undone - emails the Assignee
    • When it becomes ready to start - emails the Assignee
    • When it becomes overdue - emails the Assignee or Supervisor if Assignee is not available
    • When it is completed - emails the Assignee when the Activity has been completed by someone else
    • When it is skipped - emails the Assignee
    • When it is escalated - emails the Escalated To Location
    • When it becomes ready for authorisation - emails the authorising Location.

  • Options for completing this Activity
    • Automatically complete once started - set the Activity to be automatically completed once it has been started

      NOTE: An Activity can be automatically completed only if it has 0 or 1 result.

      If there is more than one result, this option cannot be set.

      If this option has already been selected, the New Result option will be unavailable.

    • Hide the completion dialogue if possible - display only those steps which are necessary.

      For example, if an Activity has been set to Automatically complete once started, Content Manager does not display it for the user.

      NOTE: If an Activity has no documents to create and has no result to choose and the user is not set to change start/complete date/time, Content Manager will not display a dialogue.

      Otherwise, Content Manager will only display necessary pages.

    • Requires authorisation before it can be finally complete - if this option is selected, the Activity must be authorised.

      When such an Activity has been completed and there is no existing authorising Location, Content Manager will create a default authorisation Location.

      The default authorising Location will be the Activity's Supervisor or the Workflow's Supervisor.
