Space management shortcut menu

The shortcut menu specific to Space management, available from Space management windows:

  • New Top Level Item - define new top level items to reflect new storage capacity within your facility.

  • New Lower Level Item - define new lower level items for a selected level to reflect new storage capacity within your facility.

  • Search - Refine Search - to refine your search for spaces - see Finding Space management level items and contiguous space
  • Find Contiguous - to search for a specified number of consecutive spaces.

    This is useful when transferring a consignment of records to storage. See Finding Space management level items and contiguous space

  • Transfer - transfer record(s) to another Space level, for example, from a holding bay to a floor level.

  • Recalculate - can reclaim Space storage occupied by records that have been destroyed and perform repairs on the Space system when the Available, Capacity or Used figures are out-of-date. Recalculate corrects discrepancies by counting the existing records in the system and adjusting the figures accordingly.
    When you click Recalculate, Content Manager prompts you:
    Do you also wish to reclaim Spaces that are currently occupied by Records that have been destroyed?
    • Yes - click to reclaim Space storage occupied by destroyed records and recalculate available Space storage. Content Manager sets the Home Location of the destroyed records to Destroyed.
    • No - click to only recalculate available Space storage
  • Set Level Captions - enables the user to change the names of all levels in the Space system.

    These caption changes are unique to the selected Space system - for example, change Warehouse 1 to Hume Repository and only Warehouse 1 will be changed to this new title. Warehouse 2, Warehouse 3 etc. will remain the same.

  • Additional Fields - displays the Space's Additional Fields and their values
  • Delete - you can remove a level completely from the storage space; however, if records have already been transferred to the current level, you must move the records to another space before Content Manager will allow the removal of a level.
  • Records - searches for records held in the selected level:
    • In This Space
    • In Lowest Level Spaces
    • In Holding Bay
    • In All Holding Bays
    • In All Spaces
  • Properties - to modify the selected Space management level

You can change the amount of space available at the current level.

This can be useful when needing to change the default space available to cater for a slightly different environment - for example, an air-conditioning duct takes up some shelf space and you want this information reflected in Content Manager.

You can also allocate a third-party barcode to a storage level if you want to use barcode technology to scan the movement of records to a storage facility.
