Managing open documents

Content Manager helps you manage electronic documents that are not currently checked in.

There are two ways you can edit an electronic document:

  • Right-click the record, and click Edit, which checks out the document to Offline Records and starts the authoring application to edit the document, if possible
  • With MS Office integrated with Content Manager, open a document from the integrated application, for example, MS Word, to edit the document. Content Manager checks out the document to the local path C:\Users\<username>\Documents\Micro Focus CM and opens it in Word for editing

After editing, it is good practice to check the document back in to Content Manager. However, this may not be what you want to do. Therefore, if you attempt to close Content Manager when a document is still open in edit mode, by default, a warning is displayed that you still have one or more documents open for editing and that a background process will check the document back in once it is closed.

NOTE: This process may take up to 15 minutes with some document types, such as non Microsoft suite file types, e.g. TXT or PDF. If you have a requirement to check the document back in earlier than the auto-check in process, you can manually check the document in from Offline Records, or by using the right-click Check In option on the checked out record.
