Document queue Options tab
Use the Document Queue Properties - Options tab to set the check in options for documents from the queue.
NOTE: The same options on this tab and the Options tab are used for dropped files defaults. See Options Documents page.
- Automatically view the current document - select to display the document once it has been checked in
- When checking in all documents, ignore original documents - select to set Content Manager to only check in Draft and Modified electronic documents - that is, only those documents that have been checked out of Content Manager.
This will ignore documents that have not been checked in.
When a document is being processed - set the individual document processing options:
- Confirm check in action before continuing - select for the Check In dialogue box to appear on check in
- If possible, suppress entry form when creating new records - processes documents from the queue without showing the user a form.
Can only be used if the fields on the New Record form will use the document's details for metadata, for example, title and dates.
NOTE: If a record has mandatory fields on its form, it will display the New Record form despite the user requesting it not to appear.
After processing each documentAfter processing each document - available for document queue folders - sets the option to apply to documents in the document queue folder once they have been checked in:
- No synchronisation - Content Manager leaves the document in the document queue folder and does not retain information of whether it has processed it before or not.
Not available when Allow automatic processing of this Document Queue is selected on the General tab.
CAUTION: Content Manager will process documents that remain in the folder every time it comes across them, which will create duplicate records. This option is not recommended for regular records management practice. You would only use this setting for a short-term, one-off exercise of checking in a number of records to Content Manager.
- Delete the document - deletes the electronic document from the document queue folder after checking it in.
Probably the best option for queue processing.
- Check document out of Content Manager - leaves the document in the document queue folder but sets its Content Manager status to Checked Out to that folder.
The next time Content Manager scans the folder for new documents, it will not process this document again.
After processing each Email messageAfter processing each Email message - available for mail queue folders - sets the option to apply to the mail messages in the queue folder after they have been checked in:
- Leave the Email message as it is - Content Manager leaves the email message in the mail folder and does not remember or show whether it has processed it before or not.
Not available when Allow automatic processing of this Document Queue is selected on the General tab.
CAUTION: Content Manager will process mail messages that remain in the folder every time it comes across them, which will create duplicate records. This option is not recommended for regular records management practice. You would only use this setting for a short-term, one-off exercise of checking in a number of records to Content Manager.
- Delete the Email message - deletes the mail message from the queue folder after checking it in.
Probably the best option for queue processing.
- Update the Email message with an 'In Content Manager' indicator - leaves the mail message in the queue folder but sets its Content Manager status to Checked Out to that folder.
The next time Content Manager scans the folder for new mail messages, it will not process this message again.
NOTE: To suppress error pop-ups when the document queue is being processed, go to System Options > Miscellaneous tab.
