MS Teams integration overview

Server and Client side

The Content Manager and MS Teams integration includes Server and Client sides. Some of the functions are available only in the Server side for the Content Manager Administrator and Records Manager users with Microsoft M365 Integration Administrator permission (Location properties > Profile > User type > Miscellaneous). For example, Site, Channels, People, and Check In Places. The Server side allows the Integration Administrator to automate certain functions at the scheduled intervals.

Server side (Automatic filing)

When you integrate Content Manager with MS Teams, you can add the Content Manager app to the top level of MS Teams. This helps configure Server side for automatic filing of MS Teams data to Content Manager at scheduled interval. The Content Manager app will appear on the left pane of MS Teams or is accessible through the More option on the left pane. For Server side filing of MS Teams data, you must configure Emailink and make sure that Content Manager EmailLink Synch service is up and running.

Based on the permissions given to your profile, you can capture channels (group chats) and individual chats to Content Manager, browse files and record them in Content Manager, create new Check In Style, and search for electronic documents recorded in Content Manager.

The tabs available on Server side Content Manager app are Sites, Channels, People, Check In Places, Check In Styles, My Files, Search, Content Manager options, and Help. To be able to view or operate on Sites, Channels, People, and Check In Places tabs, you (Content Manager Administrator or Records Manager) must have the Microsoft M365 Integration Administrator permission.

The Pop out app, Reload tab and Go to website are the common functions available in each option of Server side Content Manager app. Clicking pops the Content Manager Server side app out. Click to reload tab to its default view, for example, in My Files tab if you are viewing files in a sub folder and clicking reloads the tab to its root folder. Click opens the Service API page in a new tab of your browser.

Client side (Manual filing)

You can also add the Content Manager app for channels and/or individual chats using the + option within a channel or chat. This helps to configure Client side filing of MS Teams data to Content Manager, manually. A new Content Manager tab appears in the channels and chats you have added with the options to capture files and posts. You can also browse the files and record them in Content Manager, create new Check In Style, and search for records in Content Manager.

MS Teams integration

When you integrate MS Teams with Content Manager, you can:

IMPORTANT: The integration options displayed for Server side filing depends on the permissions set on your profile in Content Manager. For all the options to be available, your profile must be configured with Microsoft Teams Integration Administrator permission.

NOTE: Currently, capturing OneNote documents to Content Manager is not supported.

Task pane When you capture files or posts using the Content Manager tab in a channel or chat, a new pane is displayed to the right of the browser, listing the record properties or other options. This pane is referred to as task pane in this help file.
