Associations page

In the Associations page, select the Locations that this Location will be related to, for example, Organisation, Group, Position, Person, Project Team or Committee.

Use this page to set up your hierarchical Location structure.

For example, when you create a new Person Location, you may want to place it in a Position Location and an Organisation Location. You can do this by making them a Member Of another Location.

Locations - shows all associated Locations in set categories

NOTE: It depends on the Location type which categories are available.

  • Member Of - Locations that the selected Location belongs to, for example, Position and Organisation
  • Has Members - Locations that belong to the selected Location

    IMPORTANT: This association type will be hidden if the Content Manager Administrator has enabled the Location Members of Relationships caching option on the System Options - Caching page.

  • Supervised By - Locations that have been set as supervisor for the selected Location
  • Supervisor Of - Locations that the selected Location has been set to supervise
  • Delegate Of - Locations that the selected Location has been set as a delegate of.

    This enables the Delegate Location to have the same responsibilities as the Location it is delegated for, for example, complete Actions etc.

  • Has Delegates - Locations that have been set as a delegate for the selected Location
  • Administrator Of - useful where an organisation wants to delegate Location administration to local administrators who are responsible and authorised to make changes within their own branch only.

    The rules of this relationship:

    • Users can be Administrator Of any Location except the types Person and Unknown.
    • Once a user is Administrator Of, they can add and remove members for this Location and any of its child Locations, even without Administrator Of permission.
    • A user that is Administrator Of a Location can only add or remove relationships with other Locations to which they are Administrator Of.
    • A user that is Administrator Of a Location can add users to their Location(s), regardless of whether the target user is within their Location(s) or not, because Administrator Of does not apply recursively to Locations of the type Person.
    • Any user that has Modify Logins and User Profiles can still add and remove members for any Location, as in earlier releases of Content Manager.
  • Add - displays the Locations dialogue box for you to select a Location to associate with.

    You can only associate Locations with Locations that are of a higher hierarchical level.

    The exception is Organisations.

    For example, you can associate a Person with a Position or Organisation, a Position with an Organisation or an Organisation with an Organisation.

  • Delete - deletes the selected association
  • Make Default or Make Preferred - makes the selected association the default of several different ones.

    You can set one default for each type - one Organisation default, one Position default, etc.

  • Move Up - move the selected item up the list
  • Move Down - move the selected item down the list

NOTE: Locations created will appear as unique items in alphabetical order as well as within the other Locations they are related to.
For example, if you create a Person Location called Peter Abbott, it will appear in the list in alphabetical order under A.
When you associate Peter Abbott to a Position or Organisation (Unit), it will also appear under that Position or Organisation when you display the hierarchical list.
