Viewing deleted documents in Manage
From within the context of a workspace or workbook, you can view limited details for deleted documents so long as the parent dataset has not been removed from OpenText Core Data Discovery & Risk Insights. These documents have been scanned and then deleted from the original source , either directly at the source location or through a workbook delete action in OpenText Core Data Discovery & Risk Insights.
With the desired list of deleted documents in view, you can review the available details and sort the list by deleted date, by subject or title, or by file size. These actions are performed in the same manner as you would for any document, but with limited options.
Do one of the following.
-
On the workspace Overview page, click the N Deleted Documents link at the bottom of the detail panel.
The list of deleted documents displays in the workspace Content tab and Deleted Documents displays in the VIEWING box at the top of the filter panel.
-
From the Content tab of a workspace, click
> View Deleted Documents in the action menu.
The list of deleted documents displays in the workspace Content tab and Deleted Documents displays in the VIEWING box at the top of the filter panel.
On the Workbooks tab within a workspace, click the row for the desired workbook and then click the open detail panel icon ().
In the workbook detail panel, click the N Deleted Documents link at the bottom of the detail panel. The list of deleted documents displays in the Content tab and <workbook name> - Deleted Documents displays in the VIEWING box at the top of the filter panel.
NOTE: If you click > View Deleted Documents in the action menu from this view, the search is reset to view deleted documents in the workspace, not just the workbook.
When viewing a list of deleted documents, click EXIT DELETED DOCUMENTS VIEW in the action ribbon.
You can view the list of deleted documents in either grid view or list view. The list view includes the detail panel with only the metadata view. Because the documents have been deleted, you cannot view or download the content, add them to another workbook, add them to a tag or hold, or perform any type of analysis.
With the list of deleted documents in view, you can export all or some of the documents to CSV. The metadata fields available for exporting are limited but include additional fields specifically related to deleted documents.
| Field | Description |
|---|---|
| Deleted Date | Defines the date the document was deleted. |
| Deletion Approved By | Defines the user that approved the deletion of the document. |
| Deletion Reason | Defines the reason for the deletion provided by the user that requested the deletion. |
| Deletion Requested By | Defines the user that requested the deletion of the document. |
| Deletion Workbook | Defines the workbook from which the delete action was requested. |
With the list of deleted documents in view, you can use the filter panel to further refine the list. The criteria in the filter panel is limited to the information that is available for deleted documents. The criteria in the search builder is similarly limited but adds the option to search by "Deleted date". The ability to select grammars in the search builder is not available when refining the deleted documents list.
