Estimated Sensitive Data

The Estimated Sensitive Data dashboard depicts the estimated distribution of sensitive data under management based on existing analyzed items that are found to be sensitive. Analyzed items are items for which content has been indexed (metadata and content indexed, or collected).

Estimated values are determined by the following formula:

total items under management X (analyzed sensitive items ÷ total indexed items)

For example, if you have:

  • 32,000 total items under management

  • 14,100 total indexed items

  • 4,800 analyzed items found to be sensitive

then,

  • 4,800 ÷ 14,100 = 0.34 = 34% of your data under management is estimated to be sensitive

  • 32,000 x 0.34 = 10,888 = estimated number of items under management to be sensitive

TIP: If all items under management have been analyzed (content indexed), the information about your estimated sensitive data will be the same as presented on the Analyzed Sensitive Data dashboard.

Select or clear the checkboxes in the legend to show sensitivity for only the desired weighted labels. The charts automatically refresh based on your selection.

Click any data segment in a chart to go to the list of items that segment represents. On the Research document list page, hover over the VIEWING CONTENT OF box above the filter panel to view the criteria for the resulting list of items. For example, if you click a data segment within the Content Flagged (Estimated) chart, the document list displays all analyzed items for the selected weighted label.

The Estimated Sensitive Data dashboard includes the following graphical views as it relates to your analyzed sensitive data under management.

  • Using the Reporting Groups (Estimated) chart, view the total amount of estimated sensitive data for each tag in a reporting group. The five reporting groups with the most sensitive data are included. Hover over any data segment within a reporting group to view the number of sensitive data items associated with the weighted label.

If more than five reporting groups exist and you have permission to review tags in Connect, a More link displays. Click the link to go to Connect to view all reporting groups.

  • Using the Content Flagged (Estimated) chart, view the total number of estimated sensitive data items for the top three weighted labels relative to the percentage of overall flagged content.

  • Using the Clusters/Repository attributes chart, view the total number of estimated sensitive data items relative to existing agent clusters, or to a selected repository attribute.

By default, the agent cluster information displays. To show details for a specific repository attribute instead, click the settings icon () on the chart and then select the desired attribute. The selection you make here is saved as your preference and will display going forward until you make another selection.

When a repository attribute is selected, the top five attribute values display. If more than five attribute values exist and you have permission to review repositories in Connect, a More link displays. Click the link to go to Connect to view all repository attributes and their values.

  • Using the Estimated % Sensitivity chart, view the estimated percentage of sensitive data items relative to each repository that includes identified sensitive data. You can also see the estimated percentage of non-sensitive data items. Selections you make in the weighted labels legend affect this chart.

  • Using the Estimated Count of Sensitive Data chart, view the estimated number of sensitive data items relative to each repository that includes identified sensitive data. You can also see the estimated number of non-sensitive data items. Selections you make in the weighted labels legend affect this chart.

  • Using the Analysis Coverage chart, view the estimated percentage of data items, for each repository that has data, that is sensitive, not sensitive, and not analyzed. Selections you make in the Weighted label do not have an effect on this chart. Select or clear the Sensitive, Not Sensitive, or Not Analyzed checkboxes to refine your view.
