Data Volume

The Data Volume dashboard depicts the growth of the data under management over time relative to sources and repositories. Use Data Volume to keep track of the current data store under management.

Initial view shows data for all repositories for all sources. Use the filters above the count cards to view data for specific sources and repositories. From the source or repository filter, select one or more sources or repositories and click the APPLY button associated with the filter. If you select one or more sources first and click APPLY, the repository filter adjusts to list only the repositories associated with the selected sources. To clear selections in the filters, click the remove icon associated with the desired source or repository and then click APPLY.

Select to view Total Documents, Metadata-Only Documents, Analyzed Documents, Content Stored Documents, or Collected Documents.

TIP: Documents refer to original files processed by File Analysis Suite. Any attachments to these documents are referred to as items. Files within archive files, such as ZIP or PST, are considered as and counted as documents.

  • Total Documents. The number of documents managed. This includes documents for which metadata only or metadata and content are processed (indexed only), and documents that are collected (metadata and content indexed, and binary stored). Extracted attachments are not included in the count. Documents within email archives and compressed archives are included in the count only if they were processed as part of the repository's Primary Capture Rules.

  • Metadata-Only Documents. The number of documents for which only the metadata has been indexed. The content of these documents has not been indexed and therefore a preview of the document content is not viewable in File Analysis Suite.

  • Analyzed Documents. The number of documents for which the metadata and the content has been analyzed to identify tag values. Extracted attachments are not included in the count. Documents within email archives and compressed archives are included in the count only if they were processed as part of the repository's Primary Capture Rules.

  • Content Stored Documents. The number of documents for which the metadata and the content has been analyzed to identify tag values. This is a subset of Analyzed and only includes documents for which the content has been indexed. Extracted attachments are not included in the count. Documents within email archives and compressed archives are included in the count only if they were processed as part of the repository's Primary Capture Rules.

  • Collected Documents. The number of documents for which metadata and content have been processed (indexed) and collected (binary stored). Attachments are not included in the count. Documents within email archives and compressed archives are included in the count only if they were processed as part of the repository's Primary Capture Rule.

The Data Volume dashboard includes the following features:

  • View the data by document count (default) or by size on disk. Click the settings icon (settings icon) and select to view the data by document count or size. Hover over a data point on the chart to view the number of items added on a specific date.

  • View the data for a specific timeframe using the date range selector beneath the chart. You can adjust the start and end dates independently, or move the entire timeframe. To adjust the start and end dates, click and drag the control bar on either end; the date displays onscreen as you move the control bars. To move the entire timeframe, click anywhere within the selected timeframe and drag to the desired point in time; the date range displays onscreen as you move the selected timeframe.
