17.1 Finding Workflow Processes That Match Search Criteria

To find a specific workflow process, you can use any of the following options:

Simple Search

Enter the name of the workflow process, recipient, or requester in the search bar.

NOTE:The name of a workflow process is determined by the workflow’s Start Activity and its two properties, namely Resource Name Override Type and Resource Name Override. When the Resource Name Override Type is a Constant, the name provided in the Resource Name Override is the process name. However, if the type is an expression, the Workflow Engine evaluates the expression defined in the Resource Name Override and generates a meaningful process name at runtime.

Filtered Search

To filter the search for workflow processes, click the Filter icon and use one of the following options:

  • Name of the requester who initiated the workflow process

  • Name of the recipient

  • Status of the workflow process

  • Status of the approval activity

  • Requested date. You can filter the workflow processes either before or after a particular date

    NOTE:After selecting a date and time from the calendar, click any place outside the calendar to close it.

17.1.1 Sorting Workflow Processes by Recipient, Requester, or Request Date

By default, the workflow process list on the Workflow monitoring page is sorted based on the Request Date column, displaying the most recently requested process on top of the list. You can also sort the list based on the names of the requester or recipient. Click the sort icon next to these columns to arrange the list alphabetically. Subsequently, you can shuffle the list in ascending or descending order by clicking the sort icon.

17.1.2 Customizing the Columns

You can choose the columns to display on the Workflow monitoring page using the Column Customization option.

To customize the columns:

  1. Click the Column Customization icon.

  2. Select the check box next to the desired column that you want to display. The selected columns are added simultaneously to the Workflow monitoring page.

    HINT:To choose all columns, select the check box provided near the search field.

  3. Click the close sign (x) on the Column Customization window.

NOTE:Workflow Administration Console does not save your customization. Next time when you navigate to the Workflow monitoring page, columns that are configured to display by default will be shown. Alternatively, if you have appropriate permissions, you can set your preferences as default from the Settings page. For more information, see Column Customization Settings.
