Creating, modifying, deleting jurisdictions
- On the Manage menu, click
Jurisdictions.
The list of jurisdiction items appears.
- Right-click in the window and click New Jurisdiction.
The New Jurisdiction dialogue appears.
- Jurisdiction Type - see Jurisdictions for the different types. Select between:
- Single
- Group
- Federation
- Short Name - type up to ten characters for the
name as it should appear to users.
Typically a country, state or organisation.
- Description - type up to 100 characters as description that should appear in jurisdiction lists
- Active tab - type in active date range. An inactive jurisdiction cannot be attached to a record, record type, classification or location
- Comments tab - type comments about the item, for example about its use, if required
- Jurisdiction Type - see Jurisdictions for the different types. Select between:
- Click OK.
Content Manager displays the jurisdiction as item. For a single jurisdiction, you are finished. - For a jurisdiction standard group or federation, select the members:
Right-click the jurisdiction standard group or federation and click Add Jurisdiction.
The Select From Jurisdictions dialogue box appears. - Select or tag the jurisdictions to add to the group or federation
- Click OK.
Content Manager displays the jurisdiction standard group or federation with an expand symbol beside it and you are finished.
You can see the members of a standard group or federation by clicking the expand symbol.
Content Manager expands the group or federation.
With this method, you can modify jurisdiction type, short name, description and comments.
- Right-click the jurisdiction or group to modify and click
Properties.
The Jurisdiction dialogue appears.
- Enter the new properties in the General, Active and Comments tabs.
- Click OK.
Content Manager saves the new properties.
With this method, you can add or remove members to jurisdiction standard groups and federations.
- Right-click the jurisdiction group or federation to modify and click
Add Jurisdiction to add members or Remove Jurisdiction to remove members.
The Select From Jurisdictions dialogue appears.
- To add or remove members, select or tag them and click OK
Content Manager saves your changes and displays the jurisdiction in a list.
NOTE: When you change the members of a jurisdiction group, Content Manager does not change the individual jurisdictions associated with existing records, although you may have used that jurisdiction group to associate them.
- Right-click the jurisdiction or group to delete and click
Delete.
A confirmation message appears.
- Click Yes to confirm.
You cannot delete jurisdictions that are associated with items.
Content Manager deletes the jurisdiction or group and the updated list appears.
