Policy Centre Solution

Use this feature to import retention schedules and classifications supplied by Iron Mountain's cloud-based subscription service. This feature is only available if the "Iron Mountain Policy Centre Solution Integration" option is enabled in the System Options - Features page.

IMPORTANT: The user permission Update Policy Center Solution Schedules must be enabled for the user running this feature. This option is not enabled for any user types by default.

  1. On the Administration ribbon, click Policy Centre Solution. The Policy Centre Solution dialogue box appears. Fill in the following details according to the information supplied by Iron Mountain:
    • Authentication URL - the URL used for authorisation to the Policy Centre web service
    • Client ID - the Client ID is required for communicating the web service for authorisation

    • Client Secret - the Client Secret is required for communicating the web service for authorisation

    • Tenant ID - the Tenant ID is used to get a list of all retention schedules for a tenant from Policy Center Solution

    • Create Classifications - to replicate Policy Centre’s record classes as Content Manager classifications
    • Use Diagnostic Logging - to create a detailed report of what the synchronisation process does, for diagnosis of any problem
    • Run Forever - Enables  Content Manager to synchronise with the Iron Mountain service when an update is available. The number of days for the Synchronisation Interval can be modified.
  2. Click Run to trigger the program that imports data from Iron Mountain's cloud-based service into OpenText Content Manager.

    NOTE: This option will only be available for users who have the Update Policy Center Solution Schedules user permission enabled.

  3. Click OK to save the settings and close the dialogue. Click Cancel to close the dialogue without saving any changes.

NOTE: The trigger type for all Iron Mountain retention schedule triggers is Date Inactive.

To view the imported retention schedules, on the Manage ribbon, click Schedules. See Creating Retention Schedules.

To view the imported classifications, on the Manage ribbon, click Classifications. See Classification administration.

To replace retention schedules that are in use with retention schedules that have come from Policy Centre, use Replace References.
