Advanced disposal of records

As a Record Archivist with the appropriate permissions, you can use the Content Manager feature Advanced Disposal Processing to create consignments of records to carry out the prescribed disposition action for them. This feature is available under separate license.

Your Content Manager administrator must have selected the feature in the Administration - System - Features page. You need to restart Content Manager and reset your ribbon - see Ribbon and Quick Access Toolbar. The Manage - Consignments command becomes available and when you click it, the Consignments list appears.

By using advanced disposal processing, as a Record Archivist, you can use Content Manager to:

  1. Identify the correct records for the disposal consignment by creating an Content Manager consignment
  2. Review the record Retention Schedules and disposal status to ensure they have been identified correctly by using the Archivist Review functions
  3. Seek and manage approvals by email for the record's disposal from the allocated approvers by using the Consignment Approvals functions
  4. Dispose of the records securely.

IMPORTANT: Advance disposal of Manage in Place documents.

  • A MiP document must be transferred to Content Manager before it is disposed using the options Archived (Keep Forever) or Archived (Transfer Custody). An error message similar to the following will be displayed:

    The document attached to this record is not managed by Content Manager.

  • A MiP document will be deleted, as per the normal process, when the disposal action is Destroy. If there is an error attempting to delete the MiP document, it will be reported, but the record destruction will proceed.
