Based on Classification

The Record Type Properties - Numbering page option Based on Classification enables you to use Classification numbers to number the records you create with this Record Type..

The record numbers can

• be generated completely from the Classification

  -- or --

• have prefixes or suffixes added to them.

When you select Based on Classification, the dialogue box will change to display functions relevant to Classifications:

• Prefix - sets the prefix characters applied to all records created using the Classification in this Record Type
• Suffix - sets the suffix characters applied to all records created using the Classification in this Record Type
• Generated Number using Classification - determines how the numbering pattern is generated, i.e. whether or not it will include an extra prefix or suffix:

  If you selected Generated Number using Classification, the record number will be generated from the record numbering pattern defined for the Classification.

  This is set up in Manage - Classifications - right-click - Properties - Numbering tab.

  In this instance, the Start Numbering After field will display a P. The numbering pattern is taken completely from the Classification. No further setup is required for this record numbering option.

  If you did not select Generated Number using Classification, you must enter either a unique prefix, suffix or both, if required, which will be added to the Classification number.

  For example, if the prefix is to have three alphabetic characters such as PER, and a record is created using the Classification number 042/001, then the full record number will be PER042/001.

  In this instance, the New Record form numbering format box will display the character S in the Start Numbering After field, which will require user input for the prefix and/or suffix characters.
