Dates and Times search methods

You can search for records by their dates.

  1. From the Search menu, select Find Records
  2. At the bottom of the dialogue, click the Editor button and make sure that the Boolean search editor is selected
  3. Click KwikSelect beside the Search By box
  4. Click the expand symbol to expand Dates and Times
  5. Select one of the search methods.
    In the space below the list, you can see more detail about the search method.
    The column Caption shows the field or data the search method is about, for example:
    • Date Closed - the date that a record was closed between specified dates
    • Date Created - the date the record was physically created.

      Content Manager will prompt you to enter a date range, for example, from 1/1/06 to 1/1/07.

    • Date Declared As Final - the date that the attached document was finalised
    • Date Imported - searches for records by the date they were imported
    • Date Last Updated - date the record was last modified in any way
    • Date Published - the date the record was published to the Web
    • Date Registered - the date the record was first put into Content Manager.

      Content Manager will prompt you to enter a date range, for example, from 1/1/06 to 1/1/07

    • Financial Year - for example FY2016. The final month of the financial year for your locality is defined in the System Options Miscellaneous page.
    • Last Action Date - date the record was last modified for any of the following functions:
      • Record movements - change location either manually or via census operation
      • Electronic document processing - check in, check out, attach, extract and view
      • Attach new Action/Procedure
      • Complete attached Action/Procedure

      • Replace existing version of electronic document

      • Create new part
      • Changing a record number
      • Enclosing a record - updates container Last Action Date

  6. Click OK to return to the Search for Records dialogue
  7. Select the options to use for the search and click OK to run the search.
    Content Manager returns the search result.

TIP: You can leave date fields blank when searching - for example, when you use Date Closed, the search will find records that are not closed. See Date fields behaviour. You can use pre-defined date ranges by clicking the calendar button and then the More Dates drop-down box, e.g. Next 12 Months, Previous Year, This Week.
