Workflow template General tab

  • Name - this is the name you give the Workflow template
  • Treat the Initiating Record As - sets what Content Manager should do with the record used to initiate the Workflow with this template:
    • Ignore - the record will be ignored
    • Working Document - the primary input document for the Workflow that would be passed around for viewing and editing - it will be attached to the first Activity.

      NOTE:

      There are two types of Working Document:

      • Mandatory Working Document - This is the document which belongs to an any activity and must be created during the activity's completing process.
      • Optional Working Document - This is the document which belongs to any activity and may or may not be created during the activity's completing process.

      NOTE: A Working Document can be referenced, viewed and updated by the successor activities of its creator activity.

    • Reference Document - a document used for information purposes only - it will be visible in the Workflow Properties Documents tab and available for use within the Workflow Activities.

    • Replace Default Container - sets the initiating record to replace the default container of the Workflow
  • Priority - each Workflow and Activity has a priority property which has five different levels:
    • Very Low
    • Low
    • Medium
    • High
    • Very High

      NOTE:

      Users can change the priority of both Workflow and Activity.

      By default, an Activity will inherit the priority from its Workflow unless users have made changes.

  • Default Container - the default container that all new documents or records attached to the Workflow will be contained in

    NOTE: A record can only be set as the default container of a new Workflow when you are initialising this Workflow from a Workflow template which has no default container.

  • Default Record Type - the default Record Type that all new documents or records attached to the Workflow will use.

    NOTE: If a Workflow template uses a default record type to which a user does not have Can Use Access Control, the user will not be able to create a new document against the Workflow, and the right-click New option in the Documents tab will be unavailable.

  • Supervisor - the Supervisor of the Workflow project
  • Estimated Duration - the total estimated time for the Workflow to be completed
