Annotating electronic documents
IMPORTANT: The Annotation functionality is only available if the Annotate feature is selected on the System Options Features page.
NOTE: If you are upgrading from previous versions of Content Manager and have draft version(s) of annotated electronic documents, then after upgrading to Content Manager 23.4, the annotations in the draft version(s) will not be available. It is recommended to permanently save draft version(s) before you upgrade to Content Manager 23.4.
- Right-click the record and on the New menu, click New Annotation.
Content Manager checks out the electronic document and the Create new Annotation of Electronic Document window is displayed.

Click Annotate to display all the annotation tools.
You can use different annotation tools to annotate the document. For example, Select, Arrow Pointer, Text, Image, Add Stamp, Change Mark, Cloud, Sketch, different types of lines, and shapes. You can also change background color and color settings.

- Click Save.
A new record is created with the annotated document as draft version.

Right click on a draft version of annotated record, select the option Electronic > Continue Annotation:
- Selecting it will display the electronic document in the dialogue ‘Continue editing an Annotation’.

The document is now in status ‘Checked Out’.

Edit and click Save as PDF will close the dialogue.
The document is now in status ‘Checked In’.
Once you have completed annotating the document, click Save as PDF. The electronic document will be automatically checked back into Content Manager.
